Job Details

We are seeking a highly organized and detail-oriented Inside Sales / Project Coordinator to join our team. This role serves as a key link between customers, sales, engineering, and production by managing projects from initial inquiry through quoting, approvals, production scheduling, delivery, and installation coordination. The ideal candidate will possess strong communication skills, excellent attention to detail, and the ability to manage multiple projects in a fast-paced environment.

Key Responsibilities

• Prepare accurate quotes, proposals, and pricing documentation for customers and sales representatives.
• Support special-order pricing requests and recommend product substitutions when needed.
• Review architectural drawings, specifications, and shop drawings to identify project requirements and scope.
• Coordinate submittal packages, technical documentation, and approval processes.
• Manage drawing revisions and track outstanding approvals to keep projects moving forward.
• Verify dimensions, finishes, quantities, and product specifications for order accuracy.
• Maintain complete project files, records, and customer communications.
• Coordinate projects through manufacturing, delivery, and installation phases.
• Serve as a primary point of contact for sales representatives, dealers, consultants, and customers.
• Monitor production schedules, approval timelines, and delivery commitments to ensure on-time project completion.
• Provide project updates and proactively address potential delays or issues.

Qualifications

• Minimum of 2 years of experience in sales support, project coordination, customer service, or a related role.
• Experience with AutoQuotes (AQ) or similar quoting and specification software preferred.
• Strong organizational skills with the ability to manage multiple projects simultaneously.
• Proven experience preparing quotes, maintaining project documentation, and generating reports.
• Ability to read and interpret architectural plans, specifications, and technical drawings.
• Excellent communication and customer service skills.
• Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
• Strong attention to detail and commitment to accuracy.
