Role Summary
The Customer Service & Operations Representative serves as the operational hub for our customer support team and an essential coordinator across all internal departments. Acting as the primary point of contact for general inquiries, this role manages order receipt, warehouse fulfillment coordination, and scale house operations through to final customer delivery.

Core Responsibilities
Customer Service & Front-Office Operations
Customer Relations: Serve as the first point of contact for clients, dealers, and partners; delivering exceptional service and problem resolution.
Communication Management: Handle incoming calls and email inquiries promptly and professionally.
Scale House & Facilities: Manage scale house operations for receiving and shipping truckload shipments.
Office Logistics: Maintain office supply inventory, receive and log incoming deliveries, and distribute mail/packages to appropriate departments.
Event & Promotional Support: Prepare product samples, promotional materials, and raffle baskets or giveaway packages for tradeshows, industry sponsorships, and special events.
Administrative & Financial Support
Invoicing & Billing: Process accurate account invoices for transportation and product sales to maintain timely payment cycles.
Accounts Receivable: Process incoming payments and create item receipts for internal accounting verification.
Daily Operations: Execute daily opening and/or closing procedures to ensure facility readiness.
Quality Assurance Support: Assist the Compliance Specialist with logging laboratory samples and cross-checking quality assurance test results.
Logistics & Dispatch Support
Secondary Dispatch: Assist with dispatching outbound deliveries across company-owned fleet (EGM trucks), retail partner channels, and custom milling orders.
Shipping Documentation: Assist with preparing loading maps for warehouse staff, generate driver sales orders, and be able to identify necessary transport paperwork.
Portal & Schedule Management: Coordinate and schedule customer orders across various partner portals while keeping internal teams aligned.

Qualifications
Required
Experience: Background in customer service or office administration preferred, though a strong willingness to learn will be considered for the right candidate.
Technical Skills: High proficiency with Microsoft Office Suite (Word, Excel) and QuickBooks, with the ability to quickly adapt to custom software. Minimal experience with a strong willingness to learn will be considered for the right candidate.
Organization: Exceptional attention to detail, time management, and the ability to prioritize tasks in a dynamic environment.
Preferred
Industry Knowledge: Practical experience with horses/livestock, or academic background in Animal Science (or related agricultural field).
Logistics Familiarity: Understanding of modern freight practices and commercial Electronic Logging Devices (ELDs).
