    Customer Operations & Order Entry Specialist — Manufacturing

    Location: Fairfield, NJ 07004

    A day in this role

    Your morning starts by checking overnight emails and voicemails from brand owners, printers, and packaging partners. You’ll confirm pricing and delivery dates, create new orders in our systems, and prepare estimates so customers can move forward with confidence. Throughout the day, you’ll coordinate with sales, estimating, production, and shipping to keep jobs on track, proactively alerting customers to any updates. You’ll wrap up by documenting communications, resolving discrepancies, and following up on any missing information so every order is accurate and ready for the next step.

    What you’ll do

    • Be the primary point of contact via phone and email for B2B customers.
    • Answer questions on products, pricing, estimates, orders, and delivery timelines.
    • Enter new customer orders quickly and accurately.
    • Prepare and submit customer estimates and quotations using company estimating tools.
    • Verify order details: product specs, quantities, pricing, shipping info, and requested ship dates.
    • Confirm details with customers and gather any missing information to process orders.
    • Send order confirmations and provide ongoing updates or documentation as requested.
    • Partner with sales, estimating, production, shipping, and other internal groups to meet customer needs.
    • Track open orders and communicate any potential delays, changes, or issues to customers and internal teams.
    • Maintain precise records for customers, orders, estimates, and all communications.
    • Investigate and resolve order discrepancies, customer concerns, and service issues promptly and professionally.
    • Build a strong working knowledge of Unifoil’s products, services, pricing, and order processes.
    • Follow up when additional information or approvals are required.
    • Model a positive, responsive, and professional customer experience in every interaction.

    Required qualifications

    • Excellent verbal telephone communication skills.
    • Friendly, professional, and energetic customer approach.
    • Exceptional attention to detail and accuracy in order entry.
    • Strong organization and time management abilities.
    • Comfort handling multiple requests and shifting priorities.
    • Proficient with computers and quick to learn new software.
    • Clear and effective written communication.
    • Problem-solving mindset with strong follow-through.
    • Collaborative, able to work across multiple departments and with customers.
    • High school diploma or equivalent.

    Preferred qualifications

    • Experience in customer service, order entry, estimating, sales support, or similar functions.
    • Background in manufacturing, printing, packaging, or other order-driven environments.
    • Hands-on experience with Microsoft Dynamics 365 Business Central.
    • Familiarity with estimating, ERP, order-management, or CRM platforms.
    • Proficiency in Microsoft Office (Outlook, Word, Excel).
