Position Summary:
We are looking for a highly organized, polished, customer-focused professional to manage the operations, programming, event production, and enablement functions of our Customer Experience Center. This role is the operational and educational backbone of the center - ensuring every customer visit is flawlessly executed and Ergotron team members are equipped to use the space effectively.
The position is a hybrid of on-site hospitality, technical event production, targeted executive support, and internal training. This person is the face of the company for VIP visitors while also serving as a trusted, discreet operator behind the scenes for leadership. The versatility itself is the value: host, technician, trainer, and administrator - sometimes within the same day.
Position Responsibilities:
Operations & Scheduling
- Manage all scheduling, logistics, and coordination for the Customer Experience Center, including product showroom readiness, room setup, and facility upkeep
- Coordinate internal team usage of the center, managing competing scheduling demands across customer visits and internal programming to ensure the space is consistently visit-ready
- Maintain a master calendar across internal stakeholders, customer visits, and recurring programming
- Coordinate catering, AV/tech, materials, and other logistical needs for visits and events
- Track and report on center utilization across both internal and external usage
- Continuously improve processes and standard operating procedures to increase operational efficiency and visit quality
Customer Visit Execution
- Serve as the primary logistics coordinator for all on-site customer visits - managing pre-visit planning, internal briefings, run-of-show, room and showroom setup, AV/tech readiness, catering, and post-visit follow-up coordination
- Act as the on-site point of contact and face of the company during customer visits, greeting guests and ensuring the experience runs smoothly while troubleshooting any issues in real time
- Operate camera and AV equipment and demonstrate showroom products live for visiting and/or virtually customers
- Coordinate with sales, marketing, and product teams ahead of each visit to understand the customer audience, tailor the showroom experience, and align on agenda and messaging
- Oversee end-to-end logistics for virtual customer visits, including scheduling, platform setup and testing (Zoom, Teams, Webex, etc.), camera and AV configuration within the showroom, and coordination of all internal presenters and technology
- Manage the run-of-show for both on-site and virtual visits, ensuring transitions, screen sharing, demos, and timing all execute seamlessly
- Maintain visit records including attendee information, agenda, outcomes, and feedback, and provide regular reporting on visit volume and engagement
- Develop and maintain standard operating procedures for both on-site and virtual visit formats, continuously refining the process based on feedback and outcomes
- Support the integration of new showroom content or product displays in collaboration with relevant teams, ensuring readiness for upcoming visits
Executive & Cross-Functional Support
- Provide targeted administrative and executive support to sales leadership, including calendar management, travel arrangements, meeting preparation, communications, and meeting coordination in support of the broader commercial organization
- Anticipate needs ahead of key engagements - travel changes, briefing materials, agenda shifts - rather than waiting to be asked
- Coordinate across sales, product, marketing, and leadership to pull together the right people for meetings, often on short notice and without direct authority
- Handle sensitive executive and customer information with consistent discretion and sound judgment
Training & Enablement
- Develop and deliver training programs for commercial team members on how to effectively engage with and leverage the showroom during customer visits
- Onboard and train new hires on the Customer Experience Center - its purpose, layout, tools, and best practices for use
- Train new hires on showroom products, ensuring they can speak knowledgeably and confidently about what is on display
- Partner with sales leadership, marketing, and product teams to keep training content current as the showroom and product offerings evolve
- Responsible for timely and accurate updating of all required systems and programs necessary for sales operations including Salesforce and others as appropriate to ensure customer data is well maintained and documented. (Use for Sales and Global Services)
- Additional duties as requested.
- Supports site specific QMS initiatives for continuous process improvement.
Position Requirements (Knowledge and Experience):
Education & Experience
- Associates of Arts (AA) or higher in Business Administration, Marketing or related field preferred
- 3-5+ years of experience in a client-facing, hospitality, event production, executive support, sales enablement, commercial training, facilities management, or related operations role
- Demonstrated experience presenting or demoing in front of groups - sales presentations, training, tours, or similar
- Experience supporting senior leaders with calendar management, travel management, and meeting logistics
Technical Skills
- Experience with virtual meeting platforms (Zoom, Teams, Webex, etc.) and AV coordination, including comfort operating AV/camera equipment and troubleshooting under pressure
- Proficient in Microsoft Office (including Excel, PowerPoint and Outlook), Oracle and Salesforce. (Use for Sales, Global Services and other departments using these systems)
- Proficiency with calendar and travel tools (Outlook, Google Workspace, travel booking platforms)
- Working knowledge of CRM or visitor-management systems is a plus
Business Acumen & Communication
- Strong communication and presentation skills; comfortable working with executive-level customers and delivering training to commercial teams
- Enough commercial fluency to speak knowledgeably about the company's products, customers, and value proposition rather than reciting a script
- Ability to quickly learn and communicate product and technical content clearly, and to tailor messaging for different audiences including prospects, executives, and new hires
Preferred Qualifications
- Background in corporate events, briefing centers, executive assistant work, or sales enablement
- Experience designing or delivering onboarding/training content
- Prior work in a fast-paced, customer-facing corporate environment such as tech, a manufacturing showroom, or a similar B2B setting
- Must be able to perform the physical requirements of the job as described to you for the position.
