Description

Job Summary:This position performs project management and some application engineering-related tasks in the Parts and Services Department. These tasks are developing and quoting concepts for machine upgrades; Leverage engineering, R&D, and programming resources to solve existing problems; quoting, managing, and coordinating service work; organizing and tracking technical phone support; and preparing accurate invoices. ResponsibilitiesCollect, store, and answer emails in an efficient and organized way.Manage upgrade and service projects throughout the department as it develops in each phase by providing coordination of information between department staff, assisting with resolution of challenges that arise relative to the effect on equipment schedule, budget/actual cost of materials and labor, and customer expectations.Process orders received to organize departmental documentation folder, order acknowledgement, invoicing and any other pertinent information. As needed, coordinate and travel with Farason technical personnel to customer site for kick off meetings and site evaluations.Document and save all scope of project changes, decisions, meeting minutes and any pertinent communications via email and ECNs.Work with department managers to allocate manufacturing resource assignments for projects that require extra resources beyond the Parts and Service Department. Maintain focal point as customer contact and champion.Provide documentation and communication to all pertinent personnel to ensure customer's specific technical, quality and safety specifications are adhered to as well as Farason's intrinsic standards.Coordinate shipping and freight arrangements (internationally and domestic) with shipping deparment.Navigate and use Edrawings, ETO, and Microsoft Planner to look up data in an efficient manner.Track parts and service using ETO.Maintain an organization system in the spare parts room.Update and maintain the company calendar for staff travel to customer facilities.Distribute service/install forms for staff traveling to customer facilities.Communicate effectively to the other members of the Parts and Service team.Organize, gather and maintain information and documentation from customers and field service technicians.Track customer's phone support needs and hours.Excel in customer communications by being timely in responses and being solution oriented.Prepare components for safe shipments.Field and gather information for any future upgrades/services customers may require.Understand differences in shipping, billing, invoicing for different companies in different parts of the world.Share knowledge and information with other team members through multiple avenues of communication.Pivot and execute different plans as they change.Invoice customers in multiple invoicing portals.Navigate difficult conversations surrounding quoted prices and invoiced prices.Communicate issues and collaborate with other departments on potential solutions. Skills and Qualifications:Capable of using/navigating PC softwareTeam orientedDetail orientedOrganizedSelf-MotivatedGood at time managementGood at communicatingAbility to ask for help Flexibility to adjust to rapidly changing priorities
