Description

Everett Public Schools is seeking a Program Administrative Assistant to support the implementation of its CTI Culinary Arts adult-training program. The Program Administrative Assistant will provide concentrated administrative and participant support during each cohort to help ensure an organized and successful program launch. Additional administrative support may be provided throughout each cohort as needed.

Required Qualifications

  • High school diploma or equivalent required; associate degree or relevant postsecondary education preferred.
  • Experience providing administrative support in an educational, workforce-development, adult-learning, or similar setting preferred.
  • Strong organizational, communication, data-entry, and recordkeeping skills.
  • Ability to manage confidential participant information appropriately.
  • Proficiency with email, shared documents, spreadsheets, and digital recordkeeping systems.
  • Ability to communicate effectively and professionally with adult learners, instructors, administrators, and program partners.
  • Ability to work independently, manage multiple responsibilities, and meet established deadlines.
  • Availability to provide on-site support during the first one to two weeks of each cohort.

Responsibilities

  • Provide on-site administrative support during the first one to two weeks of each cohort.
  • Assist with participant orientation, registration, onboarding, and required program documentation.
  • Collect, review, organize, and maintain participant forms and records.
  • Support daily participant check-in and attendance tracking during the opening weeks of each cohort.
  • Assist participants with completing required paperwork and accessing program information, schedules, and resources.
  • Communicate program expectations, schedules, deadlines, and updates to participants.
  • Support instructors and the Program Manager with classroom materials, participant rosters, credential documentation, and program logistics.
  • Help identify and follow up on missing participant information or documentation.
  • Assist with data entry, recordkeeping, document management, and grant-related administrative requirements.
  • Communicate participant questions, attendance concerns, or support needs to the Program Manager.
  • Provide additional administrative support during each cohort as assigned.
  • Participate in required program meetings and planning activities.
  • Complete other program-related responsibilities as assigned by the Program Manager or Director of Career and Technical Education.

Compensation

The Program Administrative Assistant will be compensated at a rate of $40.00 per hour for up to 74 hours, with maximum total compensation of $2,960 over the cohort period. This is a grant-funded position (Career Technical Initiative; Commonwealth Corporation), and hours are contingent upon program enrollment, scheduling, continued grant funding, and successful completion of assigned responsibilities.
