Position Summary

We are seeking a motivated, organized, and customer-focused individual to join our team as a Dispatch, Customer Service & Sales Follow-Up Coordinator.

This position is equally focused on service operations and revenue growth. Approximately 50% of the role will be dedicated to dispatching, scheduling, and customer service, while the remaining 50% will focus on proactive sales follow-up, converting outstanding estimates into approved work, and generating additional business from existing customers.

The ideal candidate is comfortable managing a busy schedule, communicating with customers and technicians, making outbound sales calls, and following opportunities through to completion. This individual will play an important role in keeping our HVAC, plumbing, and electrical service departments running efficiently while helping increase revenue and customer retention.

Daily Work Expectations

The position is designed around an approximately equal division of time between operational responsibilities and sales follow-up.

A typical day will include:

• Reviewing technician schedules and coordinating daily service needs.
• Managing customer calls, scheduling requests, and service updates.
• Completing dedicated outbound follow-up calls and emails.
• Updating estimates and customer records.
• Booking approved work and coordinating scheduling.
• Reviewing outstanding opportunities and planning the next day's priorities.

The daily schedule may be adjusted during peak service periods or emergencies, but dedicated sales follow-up time should remain a priority.

Qualifications

• Experience in customer service, dispatching, inside sales, or service coordination preferred.
• Experience in HVAC, plumbing, electrical, or other residential service trades is a plus.
• Strong telephone communication and customer relationship skills.
• Comfortable making outbound calls and discussing outstanding estimates.
• Excellent organizational skills and attention to detail.
• Ability to multitask and manage changing priorities.
• Proficiency with computers and willingness to learn company software.
• A proactive, dependable, and results-oriented approach to work.
• Ability to work effectively with customers, technicians, and management.

Performance Measurements

Performance will be evaluated across both halves of the position.

Dispatching & Customer Service

• Accurate and efficient technician scheduling.
• Appointment confirmation and customer communication.
• Schedule openings are filled when practical.

Sales Follow-Up

• Consistent completion of assigned follow-up calls and tasks.
• Timely follow-up on outstanding estimates.
• Number and percentage of eligible estimates converted into approved work.
• Revenue generated from follow-up opportunities.
• Approved jobs successfully scheduled.
• Accurate tracking of sales activity and outcomes.

Management will establish realistic targets based on workload, seasonal demand, average job value, and available sales opportunities.

Compensation & Incentives

Compensation will be based on experience and qualifications. A performance-based incentive may be offered for achieving agreed-upon sales follow-up and operational goals.
