Credit Balance Specialist - Insurance
The Credit Balance/Refund Representative is responsible for meticulously analyzing overpayments made to patient accounts, conducting thorough research on the payment history of accounts, and determining the appropriate financial transactions to process refunds or corrections. This role ensures accurate handling of credit balances in accordance with healthcare policies, insurance regulations, and organizational standards.
Minimum Qualifications:
- Educational Background: High School Diploma or equivalent required.
- Licenses/Certifications: None required.
- Experience, Knowledge, and Skills:
- Preferably, at least five (5) years of experience working within a hospital business office or in a medical-related administrative role.
- Knowledge or experience working with a variety of healthcare insurance payers is preferred.
- Intermediate computer proficiency in Microsoft Office, including Excel and Outlook re required.
- Ability to multitask efficiently in a fast-paced, high-volume environment while maintaining accuracy and attention to detail.
Key Responsibilities and Principal Accountabilities:
- Conduct detailed reviews of patient account credit balances to determine the necessary transactions, including refunds, adjustments, or corrections, ensuring accuracy in each case.
- Apply appropriate insurance rules, policies, and guidelines when calculating refund amounts to ensure compliance with relevant regulations.
- Verify the status of multiple patient accounts to identify whether refunds should be applied to specific accounts or transferred accordingly.
- Collaborate with insurance companies to coordinate benefits and resolve discrepancies related to patient accounts, ensuring proper reconciliation.
- Respond promptly and professionally to inquiries from department managers regarding the status and processing of refunds on accounts.
- Prepare and process refund invoices for overpayment cases, ensuring all documentation is complete and accurate.
- Maintain detailed records of refund statuses and transactions for designated accounts to ensure compliance with federal, state, and organizational regulations.
- Meet or exceed all productivity goals established by management, demonstrating efficiency and accuracy in processing transactions.
- Uphold a commitment to providing safe and quality care by adhering to all organizational policies, procedures, and standards, while managing resources effectively within budget constraints, including time and supply management.
- Support continuous professional development by completing mandatory and ongoing education requirements, developing skills, and supporting departmental goals that contribute to overall organizational success.
- Serve as a mentor or resource to less experienced staff, acting as a preceptor or trainer when needed.
- Responsible for reporting unclaimed property related to patient accounts with credit balances in accordance with state regulations and organizational policies.
- Perform other duties and responsibilities as assigned by management to support departmental and organizational objectives.
