Big V Property Group is a family-owned commercial real estate firm, established in 1942, that owns and manages shopping centers primarily in secondary markets. We are looking for a professional, experienced Property Manager to oversee a multi-site portfolio of retail properties across multiple states, based out of our Charlotte, NC office. Position OverviewReports To: VP, Property Management Location: Charlotte, NC (office-based with regular multi-state travel) Travel: Up to 50% Portfolio Scope: Multiple retail/shopping center assets, 1M+ sq. ft. across assigned states The Property Manager is responsible for the operational, financial, and physical performance of an assigned multi-site portfolio. This role carries elevated authority for vendor and project approvals and serves as the primary point of coordination between Property Management, Construction, Leasing, and Asset Management on portfolio-level issues. Core Responsibilities- Own overall appearance, maintenance condition, and tenant relations for all assigned properties.
- Provide day-to-day guidance to Property Managers assigned to the portfolio; review their site visit reports, escalations, and vendor recommendations.
- Track and approve project approvals across the portfolio; escalate items outside authority to the VP, Property Management or VP Construction.
- Source, vet, and maintain a qualified vendor/contractor base for portfolio projects.
- Verify scope of work for capital and maintenance projects.
- Maintain accurate records in Yardi (accounting/property management), M-Files (document management), and Salesforce (CRM/tracking).
- Maintain working knowledge of landlord responsibilities: rent commencement dates, lease interpretation, tenant buildouts, and turnover timelines.
- Consolidate portfolio-level reporting (financial, operational, compliance) for the VP, Property Management.
Tenant Relations- Implement and maintain compliance with the Big V Tenant Focus Initiative across all assigned properties.
- Establish and maintain tenant relationships to ensure consistent, quality property management service.
- Coordinate turnover of tenant spaces upon new lease execution.
- Correspond with tenants professionally in person, by phone, and by email
- Meet with tenants during site visits to confirm satisfaction and identify unreported issues; ensure tenant-required maintenance is addressed.
Site Inspections & Physical Condition- Visit each assigned property at least monthly; inspect all structures, landscaping, and hardscape for damage, changing conditions, and risk exposure (e.g., wind damage, debris, settlement, deterioration, trip hazards, driving hazards).
- Document all findings via the company checklist with photographs, entered into M-files
- Maintain fire and life safety compliance for each property, including required annual/multi-year jurisdictional inspections.
- Coordinate with contractors to remediate compliance deficiencies in a timely manner.
Vendor & Contractor Management- Establish and maintain contractor and vendor relationships across the portfolio.
- Engage contractors to quote projects; qualify bids for equivalent, comparable scopes of work.
- Coordinate with the insurance administrator to confirm COIs and indemnification agreements are obtained and current before work begins.
- Conduct periodic inspections of vendors during capex/construction projects for cleanliness, coordination with tenants, progress, and quality.
- Review and process vendor invoices for timely payment.
- Meet vendors onsite for bids on maintenance contracts or projects.
Keys, Access & Turnover- Maintain lockboxes and master/individual keys for all vacant spaces and common areas.
- Manage keys and lockbox access for tenant vacancies, new tenants, and terminating tenants, including GWO requests, turnovers, and surrenders.
- Document all access changes in the system of record for leasing and construction coordination.
Response & Availability- On call to respond to tenant emergencies; not required to travel to a property for a standard emergency, but must be able to reach the tenant, assess the issue, and dispatch/coordinate a vendor to resolve it.
- Required to travel to a property in the event of a large-scale emergency (e.g., natural disaster, structural failure, life-safety event).
- Own initial reporting, correspondence, bidding, purchase orders/contracts, scheduling, and tenant coordination through to completion of each issue or project.
Daily / Recurring RequirementsEach Property Manager reserves at least one hour daily (start or end of day) for the following updates. Compliance is reviewed on a set cadence by the Division Director/VP. - Enter/update work orders.
- Update Salesforce.
- Upload site photos.
- Enter expenses.
- Log projects to be bid, by property.
- Log inspections completed.
- Maintain expense tracking in the designated system.
- Coordinate ongoing landscape, sweeping, porter, and/or onsite service management; arrange repairs following approval.
- Contribute to long-term budget planning for each assigned property, in coordination with Management/Asset Management.
Qualifications- Bachelor's degree in business, real estate, or a related field preferred; equivalent professional experience will be considered in lieu of a degree.
- 5+ years of commercial real estate property management experience required; retail/shopping center experience required.
- CPM, RPA, or equivalent industry certification a plus.
- Proficiency with Yardi, M-Files, and Salesforce, or equivalent property management, document management, and CRM platforms.
- Valid driver's license and ability to travel up to 50% across a multi-state portfolio.
- Strong working knowledge of landlord/tenant lease obligations, CAM, and lease administration basics.
