    **Job Overview

    **

    Beacon Mechanical Services is seeking a highly organized, fast-paced

    Corrigo Service Administrator

    to support a high volume of commercial service work.

    This position will primarily manage incoming work orders through

    Corrigo

    , helping ensure each job moves efficiently from initial receipt through scheduling, customer communication, documentation, and final closeout.

    The ideal candidate is comfortable managing a large volume of active work orders at once, communicates clearly with customers and field teams, and understands the urgency and documentation requirements of a commercial service environment.

    Experience working in plumbing, HVAC, electrical, facilities management, construction, or another trade-related business is strongly preferred.

    **Key Responsibilities

    **

    • Monitor and process incoming

      **Corrigo work orders

      ** throughout the day.

    • Review new work orders for location, scope, priority, NTE, required completion dates, contacts, and special instructions.

    • Accept and acknowledge work orders within required response times.

    • Coordinate with internal scheduling and operations teams to ensure work is assigned and progressing.

    • Maintain consistent communication with customer and facility contacts regarding:

      • Initial acknowledgment

      • Technician ETA

      • Scheduling updates

      • Work-in-progress status

      • Return visits

      • Material or approval delays

      • Completion status

    • Update Corrigo work-order statuses accurately and promptly.

    • Request and track required information from technicians, including:

      • Service notes

      • Labor information

      • Materials used

      • Photos

      • Equipment information

      • Completion documentation

    • Prepare and upload required

      **closeout documentation

      ** once work is completed.

    • Identify incomplete or aging work orders and proactively follow up with the appropriate team member.

    • Assist with quote, NTE, and approval tracking as required.

    • Maintain accurate records between Corrigo and Beacon's internal service-management systems.

    • Respond professionally to customer emails, messages, and requests.

    • Assist operations staff with additional administrative and data-entry needs when required.

    **Qualifications

    **

    • 3+ Years of previous administrative, dispatch, work-order management, or service coordination experience.

    • Experience within a

      **trade-related business

      ** such as plumbing, HVAC, electrical, mechanical, facilities maintenance, or construction strongly preferred.

    • Ability to work quickly while maintaining accuracy and attention to detail.

    • Comfortable managing

      **a high volume of active work orders and competing deadlines

      **.

    • Strong written and verbal communication skills.

    • Excellent organizational and follow-up skills.

    • Ability to independently identify outstanding items and push them toward completion.

    • Comfortable learning and working within multiple software platforms.

    • Experience with Corrigo, ServiceChannel, ServiceTitan, FieldPulse, or similar service-management software is a strong plus.

    • Proficiency with Google Workspace and basic spreadsheet/data-entry functions.

    • Ability to communicate professionally with facility managers, technicians, vendors, and internal management.

    • Bilingual proficiency is a plus, but not required.
