About the Job: 

We're looking for a motivated, analytical, and detail-oriented Corporate Vehicle Programs Specialist to support the administration and continuous improvement of our corporate vehicle and fleet lease program across the United States and selected affiliates.

As a member of the HR team, you'll collaborate with Finance, IT, National Distribution, dealerships, state DMV agencies, and affiliate organizations to ensure vehicles are ordered, delivered, registered, maintained, tracked, and remarketed efficiently. You'll also play an important role in identifying opportunities to improve processes, leverage technology, and enhance the employee experience.

Role Summary:

The Corporate Vehicle Program Specialist is responsible for the daily administration and continuous improvement of the company car and fleet lease program. This role oversees vehicle procurement, registration, titling, leasing, maintenance compliance, expense management, and budgeting support. The specialist serves as a subject matter expert on vehicle administration and DMV requirements while ensuring accurate reporting, operational efficiency, regulatory compliance, and cost-effective fleet management.

Success in this role requires exceptional attention to detail, strong organizational skills, financial acumen, and the ability to coordinate with a wide range of internal and external partners.

As a Corporate Vehicle Programs Specialist, You Will:

Fleet Operations & Program Administration

  • Support the day-to-day administration of the company vehicle and lease program.
  • Coordinate and maintain records of vehicle assignments, deliveries, transfers, turn-ins, and replacement activities.
  • Manage vehicle orders, inventory, and pool vehicle availability to support distribution requirements.
  • Partner with National Distribution and internal stakeholders to support vehicle procurement and delivery activities.

Registration, Licensing & Compliance

  • Administer vehicle registration, titling, licensing, and compliance activities across multiple states.
  • Prepare and process required documentation, including title applications, registration forms, tax documents, and transfer paperwork.
  • Ensure compliance with company policies and regulatory requirements.

Fleet Analytics & Financial Administration

  • Track fleet-related expenses, including maintenance, registration, fuel, and vehicle delivery costs.
  • Support invoice processing, expense approvals, and budget reporting activities.
  • Analyze fleet data and identify trends, opportunities, and potential cost savings.
  • Assist in preparing reports, dashboards, and presentations for leadership and key stakeholders.
  • Monitor key performance metrics and provide operational insights that improve decision-making.

Process Improvement

  • Identify and document improvements for processes, policies, and standard operating procedures to streamline workflows and improve operational efficiency.
  • Partner with IT and business stakeholders to enhance tools, reporting, and employee resources.
  • Participate in projects focused on improving customer experience, accuracy, compliance, and operational effectiveness.

Vehicle Maintenance & Lifecycle Management

  • Monitor vehicle maintenance and ensure compliance with company standards.
  • Track recall activity and coordinate required repairs.
  • Support vehicle turn-in, inspection, and remarketing activities.
  • Assist with vehicle disposition processes and help maximize asset value.

Cross-Functional Collaboration

  • Work closely with HR, Finance, IT, Distribution, Tax, dealerships, and affiliate organizations to support business operations.
  • Respond to employee inquiries and provide exceptional customer service.
  • Build effective working relationships with internal and external partners.
  • Contribute to special projects and initiatives that support the growth and evolution of the fleet program.

Ready to Join the Team? You Should Have: 

  • Bachelor’s degree in business administration, Supply Chain Management, Logistics, Operations Management, Automotive Management, or equivalent work experience.
  • 2+ years of professional experience, internships, co-ops, or project experience in operations, supply chain, logistics, automotive, finance, customer service, or related areas.
  • Demonstrated Microsoft Excel proficiency, including PivotTables, XLOOKUP/VLOOKUP, formulas, data analysis, and reporting. Ability to translate data into actionable insights and recommendations that improve processes, efficiency, and business outcomes
  • Ability to work onsite 3+ days per week and travel locally up to 15% as business needs require.
  • Strong analytical and problem-solving skills.
  • Exceptional attention to detail and organizational abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and relationship-building skills.
  • Interest in process improvement, innovation, and operational excellence.
  • Ability to work effectively across cross-functional teams.
  • Valid driver's license with an acceptable driving record.

Extra Horsepower (Profile Differentiators):

  • Experience in automotive, logistics, fleet operations, supply chain, or business operations.
  • Experience using Excel for analysis, reporting, or data management.
  • Experience involving process improvement, Lean principles, operational excellence, or supply chain analytics.
  • Familiarity with SAP, ERP systems, or business applications.
  • Passion for the automotive industry and emerging mobility technologies.
  • Continuous improvement mindset with a desire to challenge existing processes and drive innovation.

Pay Transparency: 

The base salary for this position ranges between$60,000 to $75,000. The base salary will be based on a number of factors including the role offered, the individual's job-related knowledge, skills, and qualifications.
