Job Summary

We are seeking an experienced real estate portfolio administrator to support a records cleanup and digitization project, including file organization, scanning, indexing, data entry, and electronic filing. Our client is one of the largest banks in the country with over 17,000 employees and more than $200 billion in assets, offering an array of general banking services and commercial banking expertise delivering best-in-class lending, leasing, and other financial services.

The ideal candidate will assist with the organization, scanning, indexing, and digitization of historical real estate files, lease documents, transaction records, title and survey files, and other department records. In addition to document imaging, the administrator will perform administrative support activities, including file reconciliation, data entry, and electronic filing to improve accessibility, compliance, and operational efficiency. Given the volume of legacy files requiring review and conversion, this work is project-based and temporary in nature, with an anticipated duration of approximately six months to complete the backlog and establish a more organized and searchable records repository.

Key Responsibilities

• Go through real estate documents to identify that the client is the owner entity of locations within their real estate portfolio.
• Clean up file folders and ensure appropriate documentation exists confirming entity ownership.
• After reviewing documents and identifying ownership, scan and digitize files into the shared drive and CoStar.
• Organize, scan, index, and digitize historical real estate files, lease documents, transaction records, title and survey files, and other department records.
• Perform file reconciliation, data entry, and electronic filing to improve accessibility, compliance, and operational efficiency.

Required Skills

• Strong real estate background and experience with real estate closing documents.
• Experience understanding title policies and Mergers & Acquisitions documents.
• Ability to read and understand Declarations/CCRs/POAs and Vesting Deed Ownership Entity.

Preferred Skills

• Certified Paralegal or paralegal background.
