Location: Queens Whitestone, New York

Job Type: Full-time

Schedule: Monday–Friday / 8:30A< to 5PM

Work Arrangement: On-site

Pay Range: $24 – $26

FLSA Status: Non-Exempt

Department: Payroll

Reports To: Payroll Manager and Director of Human Resources


Position Summary

We are seeking an experienced and detail-oriented Payroll Coordinator to support the accurate and timely processing of weekly and biweekly payroll for more than 1,000 employees across multiple states.

The Payroll Coordinator will maintain employee payroll records, process payroll adjustments, audit time and attendance information, resolve payroll discrepancies, and assist company locations with payroll and onboarding matters. This position must follow established payroll procedures, internal controls, company policies, collective bargaining agreements, and applicable federal, state, and local wage-and-hour requirements.


Key Responsibilities

Payroll Administration

  • Process weekly and biweekly payroll for more than 1,000 employees.
  • Enter and maintain employee information in the payroll system, including wage and salary changes, deductions, location transfers, tax withholdings, leaves of absence, and terminations.
  • Verify employee address, tax-withholding, and direct-deposit changes and make necessary corrections.
  • Calculate and process retroactive payments, corrections, and other payroll adjustments.
  • Process stop-payment requests, direct-deposit reversals, and replacement checks.
  • Assist with final wage payments in accordance with applicable requirements.
  • Audit payroll registers, reconcile payroll information, and research and resolve discrepancies.
  • Investigate employee and location payroll inquiries and coordinate timely resolutions.
  • Coordinate with the company’s service provider to resolve liens, garnishments, and related matters.
  • Review lien and garnishment exception reports and provide missing or corrected information.
  • Work closely with Human Resources and Benefits to resolve payroll-related matters.
  • Maintain the confidentiality of payroll, financial, and employee information.
  • Perform other duties as assigned.

Time and Attendance

  • Monitor critical timecard issues and work with location management to resolve them before payroll deadlines.
  • Ensure timesheets and time and attendance reports are complete, accurate, and properly approved.
  • Review time and attendance reports and resolve discrepancies.
  • Review ADP import files and reconcile them against time and attendance hours reports.
  • Audit, update, and maintain paid-time-off balances.
  • Provide functional support to locations using the time and attendance system.

New-Hire Onboarding

  • Audit new-hire information entered in the payroll system against source documents from the onboarding system.
  • Ensure required new-hire documentation is complete and accurate.
  • Identify and resolve discrepancies before payroll processing.
  • Provide functional support to locations using the onboarding system.


Qualifications

  • One to three years of payroll experience, preferably in a high-volume, multistate environment.
  • Experience processing payroll for exempt, non-exempt, and union-represented employees is preferred.
  • Experience with ADP Enterprise or a comparable payroll platform is preferred.
  • Familiarity with payroll reporting and time and attendance systems.
  • Proficiency in Microsoft Excel and Word.
  • Strong attention to detail, organizational ability, and analytical skills.
  • Effective written and verbal communication skills.
  • Ability to prioritize multiple assignments and meet strict payroll deadlines.
  • Ability to work independently and collaboratively as part of a team.
  • Ability to maintain confidentiality and appropriately handle sensitive information.


Education

  • Associate degree from a two-year college or technical school; related payroll experience or training; or an equivalent combination of education and experience.
