This position requires the performance of a wide range of tasks within the Louisiana Poison Control Center. The incumbent will serve as assistant and be responsible for providing direct administrative support to the Medical Director, Managing Director and all Poison Information Specialists in the Poison Control Center. Assigned tasks will include transcribing and drafting correspondence, maintaining records and schedules, screening phone calls and preparing all administrative documents. Maintenance of all educational materials used by the Poison Center and coordination of routine educational ''''mail-outs'''' as requested by the public and Center personnel will be required of this position. Regular attendance is essential to perform the function of this position. Incumbent will maintain a customer-oriented awareness in acknowledging and responding to needs as they occur to assure that customer satisfaction is met at all times. Incumbent must be able to work independently and to establish priorities for the daily workload of the Center as well as the general duties of Louisiana Poison Control Center. Regular attendance is required to perform the functions of this position. Incumbent will maintain a customer-oriented awareness in acknowledging and responding to needs as they occur that customer satisfaction is met at all times. Essential Position Functions & Duties 65 % Administrative Duties To serve as secretary to the Medical Director, Managing Director and all Poison Information Specialists in the Poison Control Center. Incumbent must have a working knowledge of word processing skills and all necessary office equipment to expedite the creation of documents, letters and general communication . Take dictation and prepare printed copies, filing of documents, correspondence and letters. Maintain meeting schedules and agendas, as well as distribute mail and place new reference materials in designated areas. In addition to normal duties as administrative assistant in the Poison Center a new quality improvement program was developed. In addition to helping develop the program reviews case records daily, extracting data to be monitored. Inputs the data into an Excel spreadsheet that was developed and reports the data and resulting changes each month to the Director of the Poison Center. Provides the monthly results to each individual Specialist in Poison Information to aid in the improvement process. The Poison Center has seen improvement in the quality factor for collected information reported to the American Association of Poison Control Centers. Willingness to oversee this part of our overall CQI efforts will help to ensure successful re-accreditation of the Poison Center in 2030. Assist in the construction of the work schedule for the staff working on the emergency hotlines. Assist the Executive Director in managing the budget of the Poison Center. 15% Customer Service Answer the telephone and route all calls to the appropriate individuals in the Center. Greet individuals entering the Poison Center and announce them to the individuals they need to see in the Poison Center. Monitor the Poison Center student usage and keep track of books and materials used by the students and faculty. 10% Compiling data and medical records generated by the Poison Center and preparing them in the proper format used buy the Poison Center. 10% Photocopying and preparing educations materials and hand outs for use by the Center.
