Job Summary:
This position is primarily responsible for supporting the functions of the academic programs of Art & Design, Communication & Media, Music, Musical Theatre, and Theatre. Chief tasks include general administrative functions, assisting students and faculty, maintaining budgets, and other specific tasks as assigned.Job Description:
Perform all financial activities associated with school and program accounts, including budget tracking and auditing, credit card purchases and reconciliation, submission of purchase orders, etc.
Complete and submit Semester Course Offerings schedules and changes to the Registrar
Maintain student records and financial records
Maintain and order office and teaching supplies
Complete adjunct contract requests in coordination with Director and Department Chair
Maintain syllabi, faculty office hours, and department meeting minutes electronically
Hire, schedule, and supervise student workers
Assist with organization of department and program events
Support various needs of students and faculty
Other duties as assigned
Coordinate international and national guest artist visits
Apply for licensure and rights for all in-house productions; acquire and return scripts and scores to licensing companies.
Attend Department and Program meetings and take accurate and thorough documentation of meetings.
Draft, maintain and submit practicum credit forms to the Registrar’s oce for departmental productions.
Manage all keys for PAC building, bulletin boards and directories
Schedule PAC classrooms for both academic and non-academic purposes.
Percentage Of Total Time: 30%
Responsibility / Duty: Monitor department budget and track expenses. Responsible for purchasing for the department, overseeing department travel and credit charges.
Percentage Of Total Time: 20%
Responsibility / Duty: Responsible for department schedules: Meetings, classroom assignments, assistance with semester course assignments and load documents
Percentage Of Total Time: 30%
Responsibility / Duty: Department-specific accounting/planning, such as planning for travel for guest artists, keep department files and records.
Percentage Of Total Time: 20%
Responsibility / Duty: Primary contact with and provides necessary department information to the university, deans’, registrar’s and controller’s offices.
Required Skills:

Knowledge of University administrative policies
Proficiency in Microsoft Office products
Ability to learn and work with various software programs
Strong initiative skills
Ability to manage and supervise student workers
Ability to perform complex procedures using appropriate analytic skills
Minimum Qualifications:
Bachelor’s Degree or equivalent experience
At least two to five years of similar office experience
