Position Description
DEFINITION:
The principal purpose of this position is to provide a variety of managerial and administrative support of the dental assisting and dental hygiene programs and the dental clinic; be the liaison between the dental clinic and community dental practices; to provide general information and assistance to the public regarding college policies and procedures as related to the dental clinic; to manage laboratory and clinical equipment maintenance and repairs, orders, supplies, maintain state and federal compliance, assist with the development of clinical and laboratory policies. This position will require performing a variety of complex and confidential duties requiring interaction with faculty, staff, students, and the public.

Essential Functions:
Oversee the daily operations of the dental clinic including:
Manage laboratory and clinical equipment maintenance and repairs
organize inspections and compliance with State and Federal agencies
verify and review forms for completeness and conformance with established regulations and procedures
update and maintain files
collect and process appropriate information
ensure that regulatory or accrediting agencies receive appropriate forms and reports
maintain appropriate maintenance records
initiate repair requests to appropriate personnel
Serve as the HIPAA compliance officer under federal and state regulations
Serve as the OSHA/Infection Control co-compliance officer under federal and state regulations
Maintain inventory and ordering of clinical, laboratory dental and office supplies and equipment.

answer phone
convey patient messages to faculty and students
respond to requests and inquiries from students, faculty, and staff
confirm patient appointments
schedule patient appointments
provide information about the Dental Assisting and Dental Hygiene Clinic to patients and the community
enter student grade sheets into the grading system
correspond with dental offices in reference to mutual patients
Coordinate radiation safety monitoring for dental faculty, students, and staff and maintain associated records for exposure as well as state and federal radiation safety compliance
Support divisional budgeting and planning processes; compile information and data; prepare requisitions; coordinate purchasing activities as assigned
Evaluate students in role of clinic assistant and screener
Provide assistance to students as needed
Communicate, distribute, and maintain a variety of regular and confidential documents
Coordinate the screening of new patients for dental clinic
Participate in the maintenance of regular or confidential department files, records and other data; gather and compile the required information as necessary; sort and file documents and records according to standard policies and procedures; input various information into computer; download, print, sort and file materials as appropriate.

maintain patient records in accordance with the guidelines set by HIPAA and the North Carolina Board of Dental Examiners

Coordinate the opening and closing of the clinical facilities at semester breaks
Work with the business office regarding dental clinic and student club activities:
collect and maintain clinic fees
collect and maintain student club fees
manage petty cash funds
balance receipt book and money collected
turn collected money in to business office every clinic day
Serve on committees and provide administrative support when necessary
Provide assistance to students when necessary
Assist other staff and faculty as needed
Engage in professional development
Assume other duties as assigned
