Western Kentucky University, Continuing and Professional Development, is seeking applications for a Coordinator in Continuing and Professional Development (CPD). This position is responsible for administrative assistance to the unit and reports to the Director, Continuing and Professional Development.

Primary Duties and Responsibilities:

The following duties are customary for this position, but are not to be construed as all-inclusive. Duties may be added, deleted and assigned based on management discretion and institutional needs.

  • Perform general office duties to include answering phones, document creation and revision, data entry, database management, and filing
  • Oversees the preparation of invoicing, transmittals, handling of checks and processing credit cards for CPD
  • Ensure the CPD office if credit card compliant by ensuring all employees are trained and completed the necessary paperwork to utilize credit cards to university standards
  • Perform credit record keeping duties from maintaining compliance to submitting monthly reconciliation reports
  • Coordinates banner, and internal registration/event booking systems trainings for all CPD employees
  • Oversees and maintains employment documentation completion for all CPD Employees including instructors, trainers and student employees
  • Supervises room reservations and catering for training professional development, and personal enrichment programs
  • Oversees the hiring process for all new CPD employees by creating requisitions, initiating EPAF''s and keeping all employee records
  • Coordinate vehicle program for the CPD, ensures drivers are approved by WKU to utilize vehicles and fuel cards, maintain maintenance records, and vehicle logs for travel
  • Assists Program Managers with development of memorandums of agreement for partnerships
  • Assist with student registration to courses administered through CPD, including the collection of fees in the form of cash, credit cards, and vouchers from third parties
  • Compose and respond to course/program correspondence
  • Coordinate record management, retention, and destruction for CPD
  • Supervise student employees
  • Assist with special projects
  • Other duties as deemed necessary by the Director

  • Ability to learn WKU enterprise systems such as Banner, TopNet and WKU Portal
  • Ability to learn computer programs and database management software
  • Working proficiency with Microsoft Office Suite programs to include Excel and Access
  • Ability to create forms using Adobe Professional
  • Excellent customer service skills
  • Positive work ethic and ability to adhere to standards of professional confidentiality
  • Desire to work in a team environment and provide excellent customer service
  • Ability to spend extended periods of sitting and working on a computer

Job Requirements:

  • Bachelor''s degree
  • At least three years of clerical experience
  • Ability to work nights and weekends on occasion

Additional Information:

Hourly Range: $16.12 - $20.06
