Responsibilities
DESCRIPTION:The Coordinator, Business Admin and Engineering Technology provides administrative and operational support to ensure the efficient coordination of departmental programs, scheduling, compliance, and day-to-day operations of the Business and Engineering Technology department. The position supports department leadership, faculty, staff, students, and external partners through coordination of records, procurement, personnel processes, instructional resources, events, and departmental communications.ESSENTIAL FUNCTIONS:1. Provides daily coordination and comprehensive administrative support for the Business and Engineering Technology department, ensuring efficient departmental operations, program logistics, compliance, and adherence to institutional policies and procedures.2. Maintains departmental records and documentation necessary for regulatory compliance, accreditation activities, audits, reporting requirements, and departmental meetings.3. Assists in preparing and monitoring the department's operating budget by processing purchasing requisitions, maintaining expenditure records, reconciling financial documentation, and organizing materials related to grant administration.4. Supports department faculty and staff by assisting with recruitment logistics, onboarding processes, employment documentation, and supervising Federal Work Study students, including scheduling, training, and work assignments.5. Coordinates procurement and vendor activities by obtaining quotes, processing purchase requests, maintaining vendor communications, verifying lab fees, processing invoices, and coordinating the acquisition of instructional and departmental supplies.6. Coordinates data entry for course scheduling and faculty assignments and maintains accurate program and course information for the catalog, website, and other institutional resources.7. Assists with faculty workload reporting and maintains supporting documentation for instructional assignments, approvals, and related departmental processes.8. Monitors departmental compliance requirements, including faculty documentation, mandatory training completion, syllabus submissions, textbook validations, and other institutional, accreditation, and regulatory requirements.9. Coordinates textbook adoption and instructional materials processes, including textbook orders and communication with publishers and vendors to secure required materials and faculty desk copies.10. Manages timekeeping processes for full-time and part-time employees by reviewing timesheets, obtaining necessary approvals, resolving discrepancies, and ensuring timely submission to Payroll.11. Maintains departmental calendars, schedules meetings, advisory committee activities, recruitment and outreach events, and coordinates travel, conference registrations, facilities, equipment, and related logistical arrangements.12. Provides support to students, faculty, staff, vendors, and community partners by coordinating communications, responding to inquiries, providing departmental information, and supporting day-to-day departmental activities.13. Performs other duties as may be required or assigned.REQUIRED QUALIFICATIONS: 1. Associate''s degree from a regionally or nationally accredited institution.2. Three (3) years of experience providing administrative and operational support in a professional setting.DESIRED QUALIFICATIONS:1. Bachelor''s degree from a regionally or nationally accredited institution.2. Experience working in higher education or a similar environment. 3. Experience using enterprise information systems such as PeopleSoft or equivalent software.3. Experience with financial recordkeeping, purchasing, scheduling, payroll processing, compliance activities, or related administrative functions.KNOWLEDGE, SKILLS & ABILITIES:1. Ability to meet deadlines and work effectively in a fast-paced, multi-priority environment.10. Ability to provide professional, courteous customer service.11. May travel between campuses and other local destinations.3.
