Posting Number 201201554P Position Title Coordinator, Advancement Department University Advancement Position Summary

The Coordinator, Advancement is responsible for initiating, coordinating, and supporting a wide range of fundraising, donor relations, and advancement initiatives for Stevenson University's Office of University Advancement. The Coordinator reports to the Executive Director, Annual Giving and Alumni Relations, and works with all members of the development team to meet the goals and objectives defined in Stevenson's strategic plan. This position represents University Advancement in communications with alumni, parents, faculty and staff, and donors and functions as the receptionist for University Advancement.

Education/Experience

Bachelor's degree and three years of advancement experience, preferably in a higher education fundraising/development office, or equivalent combination of education and experience.

Knowledge/Skills/Ability

  • Superior organizational skills and efficient work habits; planning and meeting scheduling skills; data-entry skills; superior attention to detail; and the ability to work well with other departmental personnel on campus, as well as external contacts, trustees, alumni, donors, and prospects.
  • Excellent written and oral communication skills.
  • Ability to write clear and concise business correspondence, including strong proofreading skills.
  • Strong time-management skills and the ability to prioritize tasks assigned within the team, including meeting deadlines.
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and Forms; ability to use mail merge and other programs as needed; and a desire to acquire new computer skills. Experience with Constant Contact and Give Campus would be an asset.
  • Experience with relational data bases required; experience with Datatel Colleague and/or Access would be an asset.
  • Ability to conduct prospect research, including knowledge of research tools such as WealthEngine, Lexus/Nexus, Prospect Research Online by iWave, Foundation Directory, Candid, etc.
  • Team player who is comfortable taking direction and executing tasks independently.
  • Ability to work occasional evenings and weekends as needed.
  • Ability to travel between campuses as needed.

Physical Requirements

Sedentary work. Keyboarding, talking, hearing, and repetitive motions. Close visual acuity to review data in both print and electronic form. Not substantially exposed to adverse environmental conditions. Ability to climb stairs and walk between campus buildings.

Essential Functions

  • Provide administrative support for the Vice President for University Advancement, Executive Director of Annual Giving and Alumni Relations, Director of Corporate and Foundation relations, and other members of the University Advancement team.
  • Coordinate the preparation and packaging of proposals, reports, and other documents for board and committee meetings, donor calls, and proposal submissions.
  • Assist with prospect research, including reviewing 990s and preparing donor profiles.
  • Coordinate appointments with donors, prospective donors, and internal faculty and staff of Stevenson University.
  • Schedule Alumni Association Board meetings and manage attendance.
  • Coordinate the student registration process for the Baltimore Speaker Series.
  • Assist with the compilation of information needed for donor stewardship reports.
  • Create alumni event forms and invitations and manage RSVPs.
  • Build newsletters and emails.
  • Assist with annual giving campaign reporting and donor stewardship.
  • Manage procurement, credit card expenses, invoices, and track the OUA expense budget ensuring a balanced budget.
