    About the Role

    The Contracts & Compliance Coordinator supports the company's contract, customer onboarding, prequalification, vendor/subcontractor, and compliance processes.

    This role makes sure contracts and required documents are complete, accurate, tracked, and moving through the process on time. The position works closely with Sales, Operations, Estimating, Project Management, Safety, Risk, HR, Procurement, Legal, Finance, and outside business partners.

    The expectation is more than processing paperwork. This person owns the workflow, follows up on open items, identifies gaps, and escalates issues when something is holding up a contract, bid, customer, vendor, or project.

    What You'll Do

    Contracts Administration & Lifecycle Support | 35%

    • Coordinate contracts from intake through review, approval, execution, and filing.
    • Assist Sales and Operations with contract routing and approvals.
    • Make sure required exhibits, scopes of work, insurance requirements, schedules, and supporting documents are complete.
    • Maintain contract records in the contract management system.
    • Track contracts requiring action, approval, signature, renewal, or follow-up.
    • Maintain executed agreements and supporting documentation.
    • Coordinate with Legal, Operations, Project Management, Risk, and leadership when additional review or decisions are needed.
    • Help teams locate agreements and contract information.
    • Support contract reporting, system improvements, and document management.

    Customer, Vendor & Subcontractor Qualification | 30%

    • Manage customer onboarding, pre-bid, vendor, and subcontractor qualification requirements.
    • Coordinate qualification packages from initial request through completion.
    • Review and track required information, including financial information, safety records, insurance, bonding, licenses, certifications, project experience, and references.
    • Maintain qualification records and approved vendor/subcontractor information.
    • Coordinate annual and periodic renewals.
    • Track expiring insurance, licenses, certifications, and other required documents.
    • Work with internal teams to complete customer prequalification and onboarding requirements.
    • Support customer audits and compliance reviews.

    Project & Compliance Support | 20%

    • Support project teams with contract and compliance documentation.
    • Track subcontractor onboarding requirements.
    • Create Subcontractor agreements on company boilerplate templates
    • Manage lower-tier subcontractors compliance within external portals
    • Monitor required notices, change-order documentation, and contract correspondence as assigned.
    • Help resolve missing, incomplete, or conflicting documentation.
    • Identify and escalate potential contract, insurance, or compliance issues.
    • Support project and customer audits.
    • Follow open items through completion.

    Reporting, Systems & Process Improvement | 15%

    • Maintain reports showing contract, qualification, and compliance status.
    • Track open and aging items and make sure owners have visibility.
    • Identify recurring process gaps or bottlenecks.
    • Support improvements to contract and compliance workflows.
    • Assist with data cleanup, document migration, and system projects.
    • Help develop and maintain standard templates, checklists, and processes.
    • Look for ways to reduce manual work, delays, and errors.

    What You'll Bring

    Experience

    • Associate's or bachelor's degree in business administration, Construction Management, Supply Chain Management, Risk Management, or a related field preferred. Relevant experience can substitute for formal education.
    • 3-5 years of relevant experience in contract administration, construction or industrial project administration, customer onboarding, prequalification, procurement, vendor/subcontractor management, compliance, or risk management.
    • Experience in heavy civil construction, industrial services, environmental services, specialty contracting, equipment rental, or commercial construction is preferred.

    Knowledge & Skills
