Construction Project Coordinator


Location: Lacey, WA

Work arrangement: Full-time, in-person office position

Pay: $35 - $40 per hour, depending on experience

About the Role

The Project Coordinator provides administrative and organizational support to I-5's project teams. You will help maintain accurate project information, coordinate documentation, track deadlines, and follow up on the details that keep work moving. This position is well suited to someone who enjoys creating order, communicating across departments, and making sure important tasks do not get overlooked. You should be comfortable working in a fast-paced office where several projects and priorities may be active at the same time.


The role is based in I-5's Lacey office because close collaboration among construction, design, engineering, fabrication, and project-management teams is an important part of how the company operates.


Key Responsibilities

  • Provide administrative and coordination support to project managers and project teams
  • Organize and maintain project files, records, correspondence, and documentation
  • Help track project deadlines, action items, approvals, and outstanding information
  • Prepare meeting materials, take notes, and distribute follow-up items
  • Assist with data entry, document formatting, filing, and project reporting
  • Coordinate the internal distribution of drawings, forms, and project information
  • Assist with the preparation, tracking, and organization of contracts and purchase orders
  • Track and maintain RFIs, submittals, and related project documentation
  • Assist with invoice documentation and coordination as needed
  • Help organize and track permits and other required project documentation
  • Maintain subcontractor documentation and ensure required information is current and properly filed
  • Assist with travel arrangements for project personnel as needed
  • Support project closeout by organizing required documents, records, and outstanding items
  • Communicate with internal departments, vendors, subcontractors, and project partners as directed
  • Maintain current contact lists, project logs, and project-status information
  • Follow up on assigned tasks and alert the appropriate team member to delays or outstanding items
  • Support general office and project-administration needs as priorities change


Required Qualifications

  • Minimum of 5 years of commercial construction administrative or project coordination experience
  • Working knowledge of commercial construction processes, terminology, and project documentation
  • Experience supporting project managers and construction project teams
  • Familiarity with contracts, purchase orders, RFIs, submittals, invoices, permits, subcontractor documentation, and project closeout processes
  • Strong organizational skills and attention to detail
  • Clear, professional written and verbal communication
  • Ability to manage multiple projects, deadlines, and changing priorities
  • Confidence using email, spreadsheets, shared documents, and modern office and project-tracking technology
  • Ability to maintain accurate records and handle confidential project and company information professionally
  • Strong follow-through and willingness to take ownership of assigned tasks
  • Ability to communicate effectively with project managers, subcontractors, vendors, and internal departments
  • Ability to work full-time from I-5's Lacey office


Preferred Qualifications

  • Administrative or coordination experience in construction, architecture, engineering, manufacturing, or design
  • Familiarity with construction drawings and project documentation
  • Experience supporting project managers or cross-functional teams
  • Familiarity with Procore, Bluebeam, Google Workspace, Microsoft Office, or comparable platforms

  • Full-time, W-2, in-person position
  • Pay: $35 - $40 per hour, depending on experience
