    Description

    We are searching for an EXPERIENCED Construction Project Admin for a well-respected, well-established gc based in mid-Suffolk County.

    The construction project administrator will work closely with the assigned Project Manager and will be responsible for tracking and managing all administrative aspects of assigned construction projects. The ideal candidate will display a high degree of professionalism, organization and ability to cooperate with coworkers.

    Duties/Responsibilities, Core knowledge:

    · Assist in setting up all project administration documents

    · Prepare all contract documentation including subcontract agreements, purchase orders, change orders, requests for information, etc.

    · Review, validate and process outside vendor expenses

    · Collect tax exempt certificates, certified payroll, etc. for applicable projects

    · Assist with bid preparations, letters of intent and contract award letters.

    · Track and maintain submittals, RFI’s, Addendums, Bulletins, Construction Drawings, Sketches, etc.

    · Obtain and track validity of insurance certificates

    · Ensure project file integrity and confirm that all required project docs have been collected i.e. subcontract/PO signed and fully executed, insurances, etc.

    · Prepare preliminary meeting minutes for Project Manager review

    · Collect, validate and file project field reports, etc.

    · Prepare project close-out packages upon completion of projects; as-built drawings, owner manuals, and warranty letters

    · Answer phones and route calls accordingly if necessary

    Skills, Qualifications, Experience:

    · Must have construction office experience (3 years min)

    · Education – High School Diploma

    · Experience working in a fast-paced office environment

    · Proficient with spreadsheets and construction software (preferably Timberline)

    · Ability to multi-task and prioritize work load

    · Exceptional organizational skills

    · Effective team player, self-motivated, quick learner

    · Excellent communication skills with superior written, oral and digital communication skills
