Responsibilities
- Manage daily office operations and serve as the primary administrative support for a custom home building, renovation, and property management business.
- Handle accounts payable and accounts receivable, including invoice processing, payment tracking, deposits, check writing, reconciliations, and financial record maintenance.
- Answer phones, greet visitors, and manage office communications in a professional and customer-focused manner.
- Maintain organized records for contracts, proposals, permits, invoices, project documents, vendor information, and customer files.
- Assist with construction administration, including permitting, project documentation, and coordination with vendors, subcontractors, clients, and field teams.
- Support job costing, bookkeeping activities, and accurate financial reporting.
- Monitor office supplies, vendor relationships, and administrative workflows to ensure efficient operations.
- Coordinate schedules, meetings, and project-related communications.
- Assist leadership with reports, correspondence, project updates, special projects, and other ad hoc administrative needs.
- Maintain confidentiality while supporting a high-end client experience and helping projects move forward efficiently.
Qualifications
- Previous experience in office management, construction administration, bookkeeping, accounting support, property management, or a related administrative role preferred.
- Experience with accounts payable, accounts receivable, invoicing, check processing, and general bookkeeping.
- Construction industry experience strongly preferred, including familiarity with permitting processes and working with contractors and subcontractors.
- Experience using QuickBooks; Buildertrend experience preferred.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and customer service skills with a professional and proactive approach.
- Strong attention to detail and ability to maintain accurate documentation and records.
- Proficiency with Microsoft Office, email, calendars, spreadsheets, and document management systems.
- Ability to work independently, solve problems, and take ownership of day-to-day office operations.
- Comfortable working fully onsite in Wellington and eager to grow with a small, hands-on construction company.
Pay Details: $60,000.00 to $68,000.00 per year
