We are looking for an experienced, organized, and dependable Office Manager to oversee the day-to-day administrative operations of our commercial plumbing company.
This person will work closely with the Owner, Project Managers, field employees, customers, vendors, and accounting partners to keep the office and business running efficiently.
Responsibilities
- Manage day-to-day office operations and administrative functions
- Oversee accounts payable and accounts receivable
- Prepare invoices and follow up on outstanding payments
- Assist with payroll and employee administration
- Maintain project files, contracts, purchase orders, and change orders
- Assist with project billing and closeout documentation
- Manage vendor accounts and statements
- Coordinate insurance, licenses, permits, and compliance paperwork
- Maintain organized employee and company records
- Communicate with customers, general contractors, vendors, and employees
- Work with the Owner and CPA on financial and accounting matters
- Identify problems and take ownership of getting them resolved
- Help improve office procedures and keep the company organized
Ideal Candidate
- 5+ years of office management, accounting, or construction administration experience
- Commercial construction or mechanical experience preferred
- Strong organizational and communication skills
- Comfortable with Excel, Outlook, and accounting software
- Able to manage multiple priorities and deadlines
- Proactive, dependable, and detail-oriented
- Comfortable following up with customers and vendors
- Works well with both office and field personnel
- Able to work independently and take ownership without constant direction
