    GENERAL SUMMARY/RESPONSIBILITIES

    The Concessions Operations Coordinator drives the success of the Concessions Program through compliance and auditing efforts to ensure high-performing operational standards. This role is pivotal in fostering strong relationships with concessionaire business partners, coordinating seamless logistics, providing solutions and facilitating effective communication.

    In addition to compliance and relationship management, the Concessions Operations Coordinator manages and streamlines sales reporting, adjusts billing rules, and handles official correspondence related to the program such as issuing sanctions and documenting actions. The role also involves participating in the solicitation process, contributes to workforce development initiatives, and stays informed about industry trends to continuously improve the Concessions Program. This position is integral to the ongoing success and enhancement of concession operations, working closely with the Concessions Operations Manager on various projects and administrative functions.

     

    ESSENTIAL FUNCTIONS

    • Acts as lead contact to resolve any Concessions or Rental Car related operational issues.
    • Manage compliance aspects, tasks, and actions required for the Concessions Program, including routine audits of concession spaces and implementing action plans.
    • Collaborate with concessionaire managers on visual and operational aspects, focusing on signage, cleanliness, fixtures, and merchandising.
    • Continually corresponds with concessionaire managers on operating hours, flight schedules, airport events, maintenance and other required needs to support the Concessions Program.
    • Participate in bi-weekly meetings with concessionaire partners to facilitate communication, address concerns, and provide support.
    • Supports the operation of the loading dock, ensuring smooth communication with the loading dock personnel.
    • Optimizes the operation of retail vending and short-term retail kiosks ensuring they are well-maintained and perform at peak efficiency.
    • Audits service plaza buildings and rental car support properties to maintain operational standards.
    • Assists the Concessions Program with construction activity.
    • Oversee the creation and maintenance of sales reporting and sales data spreadsheets.
    • Manage the process of updating billing rules for new accounts and/or based on performance metrics.
    • Drafts and distributes official correspondence, including notices of billing adjustments, insurance requirements, and compliance updates, along with overall maintenance and accuracy of concessionaire agreement files.
    • Cultivates relationships with current and potential concessionaire partners, fostering collaboration and discussing future opportunities.
    • Engages with community partners and participates in workforce development initiatives to align with the organization’s objectives.
    • Maintains up-to-date communication and contact lists, ensuring accurate distribution of updates across departments.
    • Stays informed about industry trends by attending conferences and applying new insights to the program.
    • Contributes to the ongoing development of the Concessions Program through active participation in special projects and initiatives.
    • Assists in other administrative tasks as delegated by the Concessions Operations Manager including but not limited to Concession Agreements, Amendments, and Lease documentation.
    • Provides excellent customer service to the traveling public and concessionaire business partners, ensuring their needs are met.

     

    MINIMUM REQUIREMENTS

    • Bachelor’s degree in Business, Retail, Hospitality, Real Estate, Finance or related field preferred.
    • Two to four (2-4) years’ working experience in Retail, Food & Beverage, and/or Hospitality operations.
    • Two to four (2-4) years’ working experience in operations, financial, budgetary, and administrative management preferred.
    • Customer service is oriented towards the traveling public and business partners.
    • Ability to effectively utilize Microsoft Office, including Outlook, Excel, Word, PowerPoint, and other computer applications as required.
    • Excellent communications skills with the ability to foster strong relationships with internal and external stakeholders.
    • Ability to create data spreadsheets and have a good understanding of general Finance topics.
    • Ability to listen, communicate, exercise good judgment, make informed strategic decisions and carry out assigned tasks.
    • Ability to perform all the essential functions of the job outlined above without causing a direct threat to the safety of oneself or others.

    • Physical Demands: While performing the duties of this position, the employee is required to walk, sit, use hands to finger, handle, or feel objects, reach with hands and arms, balance, stop, talk, or hear. The employee must occasionally lift and/or move up to 50+ pounds or more. Specific vision abilities required by the position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus. File and store information as needed. Work with varied and detailed materials. Operate a motor vehicle with a valid driver’s license and use of a computer and other personal assistance devices (tablets or mobile phones) are a must for this position.

     

    • Work Environment: The work environment is balanced at 50% office needs and 50% operational needs in multiple work locations (airport, parking garage, outlier buildings). The incumbent in this position is expected to work independently and as part of the team.
      • This role may require occasional availability beyond typical business hours due to the nature of the retail industry. Certain events, such as high traffic periods, flight diversions, weather alerts, advertising installs, remodel projects may dictate job duties to extend to nights and weekends.
