Base Pay: $22.00 - $32.50 / hour
JOB SUMMARY
Under the supervision of the Director of Organizational Compliance, the Compliance Administrative Assistant provides administrative, operational, privacy, investigative, risk management, and regulatory support to the Compliance Department.
This position assists with the coordination and monitoring of corrective action plans to support compliance with applicable federal, state, and local laws, regulations, and SCHC policies. Responsibilities include supporting daily compliance and risk management activities, including incident and event management, documentation, tracking, follow-up, and related administrative functions. This role works collaboratively with management and staff across the organization to support the implementation, monitoring, and ongoing effectiveness of compliance initiatives at all Shasta Community Health Center (SCHC) locations.
Due to the sensitive nature within the department and access to some PHI, PII, personnel information, investigative materials, surveillance footage, and other confidential organizational information, the individual must demonstrate exceptional discretion and integrity.
JOB DUTIES AND RESPONSIBILITES
A. Administrative and Department Support
· Retrieve and distribute postal and interoffice mail.
· Prepare certified mail and coordinate delivery to the U.S. Postal Service.
· Prepare professional correspondence relating to grievances, returned gifts, drug recalls, privacy matters, and other departmental activities.
· Log, scan, assist in preparing, and distribute professional license renewal information and applications.
· Prepare and disseminate departmental supply orders.
· Maintain calendars and coordinate appointments, meetings, room reservations, agendas, meeting materials, and minutes for various committees.
· Prepare correspondence, reports, spreadsheets, presentations, and other documents in an accurate and professional format.
· Perform electronic document filing and maintain departmental records.
· Complete additional projects and duties assigned.
B. Privacy and Compliance Support
· Maintain privacy incident tracking systems and supporting documentation.
· Assist with privacy and compliance forensic reviews.
· Review and assist with reports including, but not limited to:
o Audit reports
o Home department audits
o Patient/Chart monitoring reports
o Medication access reports
o VIP patient reports
o Health Information Exchange (HIE) reports
o Emergency Access reports
o Other privacy or electronic access monitoring reports
· Assist with accidental-access verification, documentation, and tracking.
· Assist in preparing HIPAA Breach Risk Assessments for review.
· Coordinate retrieval of misrouted documents containing PHI, ePHI, or PII.
· Send, retrieve, document, and maintain Attestations for Destruction of PHI, ePHI, and PII.
· Assist with retrieval of documents from secure PHI disposal bins when necessary.
· Review surveillance footage in support of compliance, privacy, security, safety, and investigative matters.
· Maintain strict confidentiality of all Compliance investigations and information.
C. Patient Grievances
Coordinate administrative components of the patient grievance process.
Maintain grievance tracking and supporting documentation.
Assist with preparation and distribution of grievance correspondence.
Retrieve, track, categorize, and report patient comment cards.
Assist with preparation of grievance trends and reports for appropriate committees and leadership.
D. Investigations and Regulatory Audits
Schedule investigative case interviews.
Prepare interview materials, supporting documentation, case notes, and investigative files.
Assist Compliance personnel during investigative interviews as assigned.
Assist with audits, interviews, and requests involving government agencies or other regulatory entities.
Retrieve and organize documentation necessary to respond to audits and regulatory inquiries.
Maintain accurate and confidential investigative records within EthicsPoint.
E. Policy and Compliance Systems
· Provide support for the development, revision, formatting, routing, and maintenance of policies, Standard Operating Procedures (SOPs), and other organizational documents maintained within the electronic policy-management system.
· Provide NAVEX PolicyTech user assistance, including:
o Login assistance and password/reset support
o User reassignments
o Updating user information
o Document acknowledgement assistance
o Basic system troubleshooting
· Assist with EthicsPoint/NAVEX reporting and analytics.
· Prepare compliance reports for various organizational committees using EthicsPoint analytics and other available reporting tools.
F. Employee, Contractor and Student Compliance Activities
· Coordinate contractor compliance orientations.
· Distribute and retrieve required Clearance Packets.
· Maintain Clearance Packet tracking documentation.
· Monitor outstanding documents and perform appropriate follow-up.
G. Ergonomic and Safety Program Support
Communicate with managers regarding ergonomic assessments and recommendations.
Coordinate communication of accommodations with Human Resources as appropriate.
Maintain ergonomic assessment files and tracking systems.
Schedule required follow-up assessments.
Coordinate Quarterly Safety Walks, including:
Scheduling
Calendar invitations
Reminder communications
Preparation of site-specific finding documentation
Tracking of findings and follow-up
H. Lost and Found / Sensitive Property
Coordinate appropriate handling of lost and found property containing confidential or identifying information, including:
Cellular phones
Credit/debit cards
Identification cards
Insurance cards
Wallets / Purses
Make reasonable attempts to contact property owners when appropriate.
Coordinate secure disposition or destruction when required.
Document actions taken and provide appropriate follow-up to the Security Log.
I. Special Projects
· Completes additional projects as assigned by the Director of Organizational Compliance or the Chief Operations Officer.
· Research background material for projects and other initiatives.
