    Job Description

    The Completion Specialist is responsible for identifying and administratively graduating students who have fulfilled all program of study requirements according to North Carolina Community College programs of study. This position will conduct periodic reviews of student academic records to confirm eligibility for certificates, diplomas, and degrees, ensuring timely and accurate processing. The Completion Specialist will assist with the planning and execution of the College's annual graduation ceremonies as well as provide essential administrative support to the Registrar's Office in the areas of academic record maintenance, student data accuracy, graduation audits, Credit for Prior Learning, and other registrar-related functions.

    Essential Responsibilities

    • Proactively monitor and review student academic records to identify those who have completed the requirements for certificates, diplomas, and degrees to fulfill the college's strategic plan.
    • Proactively identify students and former students nearing credential completion and work cooperatively with advising to assist these students in completing credentials.
    • Responsible for the Reverse Transfer Program.
    • Evaluate program completion based on NCCCS curriculum standards, college catalog requirements, and institutional policies.
    • Coordinate the administrative graduation process, including posting credentials to student records, notifying students, and facilitating the issuance of diplomas or certificates.
    • Work closely with academic advisors, program chairs, and faculty to ensure accurate interpretation of program requirements and promote stackable credentials models.
    • Work with Academic Partners on Credit for Prior Learning Pathways and implementation.
    • Maintain detailed records of credential evaluations, award decisions, and graduation processing for auditing and reporting purposes.
    • Research and identify degree audit software utilization
    • Assist in preparing graduation lists, commencement reports, and credential production in collaboration with the Registrar and other departments.
    • Provide excellent customer service by responding to inquiries from students, faculty, and staff regarding completion status, graduation requirements, and related processes.
    • Assist with general Registrar's Office operations, including incoming and outgoing transcript processing, data entry, enrollment verification, course substitution, and other records maintenance.
    • Maintain confidentiality and compliance with FERPA and other relevant policies.
    • Participate in training and professional development to stay current on NCCCS guidelines and institutional policies.

    Minimum Qualifications

    • Associate degree required; Bachelor's degree preferred.
    • Experience in student services, academic records, or higher education administration preferred.
    • Familiarity with NCCCS curriculum standards and graduation requirements is highly desirable.
    • Proficiency in student information systems (e.g., Colleague, Banner) and Microsoft Office Suite.
    • Strong attention to detail, organizational skills, and ability to manage multiple tasks simultaneously.
    • Capable of making independent judgments in absence of supervision
    • Exercises strong analytical judgment in areas of responsibility. Identifies issues or situations as they occur and specifies decision objectives.
    • Adaptable to performing under stress when confronted with emergency situations or tight deadlines.
    • Excellent communication and interpersonal skills with a commitment to student success and service.

    Working Conditions

    • Standard office environment with frequent use of a computer.
    • Occasional evening or weekend hours may be required during peak times (e.g., graduation processing).
    • May involve sitting or standing for extended periods.
