We are seeking a Community Support Specialist to provide administrative and customer service support to our Condo and HOA Management team and the residents of the communities we serve.Position SummaryThe Community Support Specialist provides administrative, clerical, and customer service support to Condominium and Homeowners Association (HOA) Managers. This role serves as a key point of contact for residents, contractors, settlement companies, and other stakeholders, ensuring timely communication, accurate recordkeeping, and efficient resolution of customer needs.Responsibilities include coordinating service requests, processing work orders, preparing correspondence and reports, supporting billing and invoicing functions, and assisting with condominium and HOA resale transactions.Key ResponsibilitiesMaintain electronic databases and filing systems to ensure accurate and organized records.Provide exceptional customer service by responding to resident inquiries and supporting community management operations.Coordinate and assign work orders, communicate with contractors, and follow up on completed repairs and service requests.Prepare, distribute, and manage reports, mailings, notices, and other communications.Generate and send correspondence, including community notices and violation letters.Support condominium and HOA resale transactions by preparing resale certificates and coordinating with settlement and title companies, financial institutions, and homeowners.Process accounts payable invoices and maintain related records.Collect, review, and coordinate Architectural Review Committee (ARC) and land improvement requests and approvals.File and maintain Certificates of Insurance documentation.Assist with problem resolution and administrative support activities as needed.Maintain accurate community records and update information within company systems.QualificationsStrong organizational and time-management skills with the ability to prioritize multiple responsibilities.Excellent customer service and interpersonal communication skills.Ability to multitask effectively in a fast-paced environment.Strong written communication skills with the ability to draft professional correspondence.Detail-oriented with a commitment to accuracy and follow-through.Proficiency with computer systems and common business software applications.Previous administrative, office support, property management, or customer service experience preferred.Why Join The Horst Group?We believe our employees are our greatest asset.
