JOB TITLE: COMMUNITY EDUCATION AND OFFICE MANAGER

DEPARTMENT: The Ned R. McWherter West Tennessee Cultural Arts Center

REPORTS TO: Executive Director

FULL TIME: YES

SUPERVISION: Fairgrounds maintenance and event staff, seasonal/temporary workers, volunteers, and contractors as assigned

GRADE: F (RATE OF PAY: $19.09-$21.11/hr)

JOB SUMMARY:

The Community Education and Office Manager will serve a dual role to support educational needs and assigned office duties at the Ned. This position will be responsible for developing learning opportunities to connect the community with the purpose at the Ned, which is creating an environment that supports a sense of belonging and cultural enrichment through performing arts, education and visual arts. This position will lead the development and facilitation of strategies and programming efforts focused on advancing access to the arts and community understanding. The role will also perform work tasks to ensure compliance with City of Jackson accounting standards.

ESSENTIAL JOB FUNCTIONS:

  • Support the vision of the Ned R. McWherter West Tennessee Cultural Arts Center
  • Receive and receipt payments for deposits to the City of Jackson Revenue office - direct city financial compliance
  • Prepare invoices for events and communication with customers for payment
  • Fielding facility rental inquiries and preparing event rental proposals and contracts
  • Manage ticket scheduling, sales and operate ticket booth
  • Assist customers during phone or walk-up ticket orders (credit card processing, cash and checks)
  • Generate ticket sales reports and other reports/spreadsheets
  • Attend Advisory Board meetings when requested
  • Maintain financial and in-kind donor base
  • Manage office files (paper and electronic)
  • Order and inventory office supplies
  • Assist the Executive Director in managing the calendar of events for the theatre and other rental spaces
  • Manage students, instructors and production staff communications
  • Manage the high school student council program (SPOT)
  • Train interns and volunteers for specific functions and productions
  • Work directly with Ned production team to assist with communication between cast, crew and production team
  • Assist as needed with theatre production tasks
  • Assist with design and marketing emails and other marketing materials upon request
  • Design and print the Nedliner programs
  • Develop curriculum, educational activities, and related materials for learning opportunities
  • Develop and execute a community education plan including strategies to identify, cultivate, and engage a variety of audiences

EDUCATION, TRAINING, KNOWLEDGE, AND SKILLS / REQUIRE QUALIFICATION

  • Bachelor''s Degree in Theatre, Education, or a related Arts/Management field
  • One year of relevant experience; or an equivalent combination of education and experience
  • Valid Tennessee Driver''s License
  • Excellent writing, research, and verbal communication skills
  • Excellent customer service and interpersonal skills, with a professional demeanor and comfort working with patrons, board members, and business partners
  • Strong organizational skills with the ability to prioritize and manage multiple projects simultaneously and with attention to detail
  • Ability to work collaboratively across staff, volunteers, instructors, and community partners
  • Self-motivated, results-oriented, and creative, with a positive outlook and a focus on quality within budgetary constraints
  • A natural forward planner who critically assesses own performance
  • Reliable, tolerant, determined, and adaptable, able to respond resourcefully to new challenges with accountability
  • Proficient in Canva and MS Office (Excel, Word, Outlook, PowerPoint)
  • Experience with box office management and point-of-sale (POS) software
  • Familiarity with social media management (Facebook, Instagram, YouTube, etc.) is a plus

SUPERVISORY RESPONSIBILITIES

This position supervises volunteers, including but not limited to ushers and program participants. This position does not have supervisory authority over full-time staff and does not have authority to hire, terminate, or conduct formal performance evaluations of employees.

This position''s standard 40-hour work schedule regularly includes evenings and weekends to support performances, rehearsals, and special events. The employee may occasionally be exposed to dust or theatrical effects such as fog or haze during productions. The noise level in the work environment is usually quiet while in the office and gallery, and moderately loud during rehearsals, workshops, and live performances. This position also involves regular contact with the public, including patrons, donors, and event attendees.
