    Description

    Commercial Litigation Legal Secretary

    Location: Newark, NJ Office
    Classification: Non-Exempt
    Reports to: Administrative Manager

    What You’ll Do:

    • Perform day-to-day administrative and legal secretarial tasks in support of litigation attorneys

    • Answer and screen incoming calls, take accurate messages, and direct inquiries appropriately

    • Edit, revise, and clean up legal documents to conform with firm styles and guidelines

    • Manage electronic filings for Federal and State Courts

    • Create and edit Tables of Authorities and Tables of Contents

    • Enter, edit, and manage attorney time entries and expense reports

    • Organize and maintain case files and handle document filing

    • Process incoming/outgoing mail, including messenger service and FedEx

    • Provide secretarial coverage during absences within the department

    What You’ll Bring:

    • Minimum of 10 years’ litigation legal secretarial experience, preferably in a law firm

    • High school diploma or equivalent required

    • Strong knowledge of Federal and State Court filing procedures, including E-filing

    • Advanced proficiency with Microsoft Office 365, iManage, Kofax, Best Authority, Aderant, Litera Compare, Big Hand Dictation, and Compulaw

    • Outstanding organizational skills and extraordinary attention to detail

    • Excellent communication and interpersonal abilities

    • Ability to multitask and prioritize workload in a fast-paced environment

    • Proven experience managing pressure and tight deadlines

    • Positive, professional demeanor and team-oriented attitude

    • Current Notary Public commission or willingness to obtain within the first 6 months of employment
