We are seeking our next Combined Services Assistant - Moore County Campus who will be all-in on our mission and who serves as a primary point of contact for students, employees, and community members at the Moore County Campus by providing exceptional customer service and administrative support. This position assists students throughout the enrollment process by providing information, coordinating appointments, supporting admissions, advising, testing, financial aid, and continuing education services, while also performing clerical, operational, and campus support functions. The Combined Services Assistant works collaboratively with faculty and staff to ensure efficient daily operations and a welcoming, student-centered environment.

Qualifications

EDUCATION:

Required: High School Diploma or GED.

Preferred: Associate's Degree.

EXPERIENCE:

Required: Two (2) years of customer service experience.

Preferred: Two (2) years of experience in higher education or student services. Bilingual (English/Spanish).

Job Duties & Responsibilities

  • Serve as a primary point of contact by greeting students, employees, and visitors while providing exceptional customer service.
  • Assist students through the enrollment process by verifying admissions requirements, including applications, immunization requirements, placement testing, and other enrollment documentation.
  • Schedule advising, Texas Success Initiative (TSI), certification, instructor, and proctored testing appointments.
  • Verify advising and testing appointments.
  • Register Continuing Education students.
  • Assist students with financial aid verification and direct them through required processes.
  • Provide students with account balance information and general enrollment assistance.
  • Process enrollment verification and official transcript requests.
  • Assist students with textbook ordering and other student support services.
  • Generate student degree plans, testing reports, and other academic information as appropriate.
  • Serve as the primary campus contact for instructors and industry trainers requiring classroom technology assistance and basic troubleshooting of instructional equipment.
  • Assist instructors with instructional support, including copying materials and classroom preparation.
  • Input TSI and other testing scores into appropriate systems.
  • Prepare deposits, collect and reconcile payments, balance cash drawers, and accurately process College funds.
  • Process and distribute academic and Continuing Education forms.
  • Generate Continuing Education Unit (CEU) certificates.
  • Open and/or close the campus as assigned.
  • Distribute incoming campus mail and process outgoing mail, including bulk mailings.
  • Monitor copier usage and coordinate service requests for multiple campus locations.
  • Provide administrative support to campus leadership.
  • Assist with student outreach and communications as needed.
  • Supervise and assist student workers.
  • Perform other work-related duties as assigned.

Knowledge, Skills & Abilities

  • Knowledge of student services processes, enrollment procedures, and College policies.
  • Knowledge of FERPA and the ability to maintain confidential student information.
  • Knowledge of financial aid processes and student support services.
  • Ability to provide exceptional customer service to diverse populations.
  • Strong interpersonal, written, and verbal communication skills.
  • Ability to organize multiple priorities while maintaining accuracy and attention to detail.
  • Ability to exercise sound judgment and maintain professionalism in a fast-paced environment.
  • Ability to work independently and collaboratively as part of a team.
  • Proficiency with Microsoft Office, Google Workspace, Colleague, and other educational software applications.
  • Working knowledge of virtual meeting platforms such as Microsoft Teams, Zoom, Google Meet, and learning management systems.
  • Ability to troubleshoot basic classroom technology and office equipment.
  • Dependable with the ability to maintain confidentiality and handle sensitive information appropriately.

Salary: Amarillo College follows a lag pay strategy, with starting offers typically between the minimum and midpoint of the pay grade, rarely reaching the maximum to support long-term growth within each position.

Pay grade 6 Amarillo College Pay Grades (salary is determined by Human Resources based on education, work experience and internal comparisons).

Physical Demands: While performing the duties of this position, the employee is regularly required to sit, stand, walk, bend, reach, and travel between offices and campus buildings. The employee must be able to lift, carry, push, pull, and move office supplies, equipment, and materials up to twenty-five (25) pounds as needed.

Working Conditions: This position may require evening, weekend, holiday, or special event work to support campus operations and student activities.

Work Environment: Work is performed primarily in a professional office environment with frequent interaction with students, employees, and the public. This position routinely uses standard office equipment, including computers, telephones, printers, copiers, and other office technology. The work environment is fast-paced with frequent interruptions and requires the ability to prioritize multiple responsibilities while maintaining a high level of customer service. Software commonly used includes Microsoft Office, Google Workspace, Colleague, and other educational applications.
