Description

Under the supervision of the Advising Supervisor, the College Advisor, is a vital contact for all program students to drive engagement and empower students to achieve their academic and career goals. Collaborates closely with valued partners (i.e. Advising Peers, Recruitment, Admissions, Career, Financial Aid, Retention Coaches, Student Life, and faculty) to provide coordinated care, academic and non-academic advice, including, but not limited to STORM and program orientations, transcript and course placement evaluations, approval of course waivers under the guidance of program faculty, and registration through various parts of the student's academic career path.

The College Advisor provides various aspects of academic and non-academic coaching support and guidance throughout the student's entire academic career path and are expected to engage and provide proactive advising and coaching strategies throughout the academic year. The goal is to coordinate care and build transformative relationships with students while interpreting information and providing clarification on procedures and academic requirements of specific programs. College Advisors are responsible for monitoring academic progression, including using academic milestones to increase retention of all students and they play a pivotal role in promoting student success to ensure students reach key benchmarks throughout their academic program.

Supervision received is general in nature using established policies and general objectives often referring to the supervisor for policy clarification or interpretation. As a staff member of the MATC College Advising team, all job-related performance directives, training, evaluations, and day-to-day directions will be provided by the supervisor.

Note: This is a Perkins grant-funded position. Funding for this position is contingent upon the terms of the grant. This position is funded through 6/30/27.

Characteristic Duties and Responsibilities

Student Advising: Performs a comprehensive model of academic advising for current students. Presents group workshops and provides individual advising sessions, with a minimum of three contacts during critical periods each semester (The 3 points of contacts should include: Pre-advise (first four weeks of the semester), Mid-term (weeks 6-9), and Priority registration (weeks 9-16) to ensure students have the best opportunity to achieve their educational goals. Serves as a resource for Pathway/Program faculty who advise and case manage program students. Assesses scores/GPA as appropriate. Reviews transcript and program plans. Teaches students how to register for courses in alignment with course availability and program changes that are supportive of the student's ability as well as academic, financial, and career plans while applying an equity of treatment with all student concerns. Advises students on academic decisions and career development, including effects of dropping courses and/or changing programs, referring students to Financial Aid specialists as appropriate. Clarifies Academic Plan and other planning documents to students.

Education Planning Leadership: Assesses strengths and weaknesses in students' academic, career, and personal development by identifying factors that enhance or prevent academic progress. Examines alternatives based on changing goals, academic progress and/or personal situation. Interprets non-cognitive assessment results to guide students to establish realistic academic and career goals. Remains current and knowledgeable of MATC transfer credit policies, agreements and graduation requirements for Pathway programs to better assist planning. Stays current on general Financial Aid processes to inform recommendations for education planning.

Academic Monitoring, Success Planning, & Coaching Support: Assess students' academic, career, and personal progress by identifying strengths, barriers, and factors impacting success; support goal setting and informed decision-making. Monitors academic plans and standing, including progress toward completion and students on warning, probation, or suspension, while addressing needs such as study skills and tutoring. Provides academic and life coaching through individual and group engagement to help students overcome barriers and take goal-oriented action. Delivers proactive outreach, case management, and referrals to support services. Uses student data and institutional reports to identify retention risks and implement targeted, solution-focused strategies.

Career Exploration: Provides career exploration incorporating light-touch career interventions during student interactions. Supports students by providing general information for students in exploring career pathways, using labor market information, and aligning academic, transfer, and employment goals. Refers students to Career Hub for comprehensive career assessment and support.

Resource Guidance: Identifies and refers students in need of additional academic resources, career planning, personal or financial counseling, and/or special needs to appropriate Pathway team member(s) (i.e. Pathway Retention Coach) or other college office(s). Guides students to access college resources, including navigating the student portal to attain self-sufficiency in college transactions. Uses appropriate tools and software to generate and maintain applicable, accurate student reports that are student specific, meeting summaries and tracking notes.

Data and Reporting: Uses EAB Navigate and Ellucian tools as well as collaborate with campus stakeholders to utilize data identifying students who benefit from services as well as participate in re-enrollment campaigns and intervention strategies. Uses appropriate tools and software to generate and maintain applicable, accurate student reports that are student specific; meeting summaries and tracking notes.

Customer Service and Engagement: Ensures delivery of excellent customer service, including face-to-face, telephone, on-line communication and web-conferencing. Works with the Pathway team to ensure delivery of accurate information of all College services. Collaborates with Pathway Dean to help plan and deliver new student orientations, including oversight of online orientations and success workshops. Collaborates with Pathway team to utilize data identifying students who benefit from services as well as participate in re-enrollment campaigns and strategies. Serves as students' advisor and as needed facilitates group advising sessions.

Ethics and Confidentiality: Practices honesty by demonstrating a consistent and uncompromising adherence to strong moral and ethical principles, values, truthfulness and accuracy in all actions. Addresses all student and employee behavior in a confidential and respectful manner.

Continuous Learning & Professional Development: Maintains current knowledge of best practices and standards in higher education with an emphasis on community Colleges. Actively organizes and/or participates in applicable workgroups, trainings, workshops, seminars, committees and professional associations or conferences to promote continuous learning including participating in College Advising center specific programming.

Other duties: Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

Qualifications

Supplemental Information

Start Date: This position supports the Community Education Division and is available to start as soon as possible. This is a Perkins grant-funded position. Funding for this position is contingent upon the terms of the grant. This position is funded through 6/30/27.

Hours: This is a 100% IN PERSON/ON SITE 38.75 hours per work week year round position. The hours would be 8am to 4:30pm on some days and 9:30am to 6pm on others. During busy registration seasons like December and April we also have ASCs work 11am to 8pm and an occasional weekend to help enrollment events

Location: Primarily based out of the Milwaukee Downtown campus with the ability to flex to other locations if needed to support student success. Employees will conduct all work hours in the State of Wisconsin, performing work outside the state is strictly prohibited.

Compensation: Hourly pay rates are listed up to the midpoint of the range and placement is determined based on years of experience, internal equity, and a review of the applicants employment and educational background as listed on the job application.

Health Insurance

  • MATC offers a choice between two medical insurance plans. See below for plan types:

Upon selection, the coverage begins the first of the month following start date. You will have 30 days from your start date to enroll. MATC contributes a generous percentage towards medical insurance premium. Both medical plans include prescription drug coverage at no additional cost to employees. Employees are offered an option to enroll in a Health Care Flexible Spending Account (FSA) with the selection of the Low Deductible PPO plan. Employees are offered an option to enroll in a Health Savings Account (HSA) with the selection of the High Deductible PPO plan with employer contributions.

Dental Insurance

  • MATC offers a group dental plan through Delta Dental.
  • Upon selection, the dental insurance plan coverage begins the first of the month following start date.
  • Annual maximum per covered person is $2,500; plan covers preventive, routine, restoration, and has an orthodontic benefit for dependents up to age 19.

Vision Insurance

  • MATC offers a group vision plan through Superior Vision..Upon selection, the vision insurance plan coverage begins the first of the month following start date.
  • Plan covers eye exam, frames, lenses and contact lenses.

Group Life Insurance

  • MATC offers group term life insurance benefits through Madison National Life Insurance Company effective the first of the month of start date and is fully paid for by the College. The amount of insurance is based upon the employee's annual earnings rounded to the higher $1,000.00. The benefit is doubled in the event of accidental death.
  • Supplemental Life Insurance is also available at group rates for employees, spouses, and dependents to purchase.

Long-Term Disability

  • MATC offers long-term disability insurance through Madison National Life Company after 30 days of employment and is fully paid for by the College. Benefits provided are equal to 66 2/3% of base monthly earnings.

Flexible Spending Accounts

  • MATC offers two types of Flexible Spending Accounts (FSA):
  • Health Care FSA
  • Dependent Care FSA

This type of benefit allows employees to set aside pre-tax dollars per calendar year for a variety of medical, dental, and vision expenses (for a Health Care FSA) and for day care expenses for children under 13 or family members that are dependent on you for more than half their support (for a Dependent Care FSA) up to a maximum amount.

Retirement Savings

  • Regular full-time employees of MATC who are hired for greater than 12 months become members of the Wisconsin Retirement System (WRS)'s pension system as of day one of employment. The College currently pays the full cost of the employer contribution (6.9%), and the employee pays the full part of the employee contribution of 6.9% of salary. There is a five year vesting period requirement in order to qualify for any employer contributions made on the employees behalf. Contribution rates are subject to change annually as set by the State.
  • In addition to the WRS pension account, employees may enroll in other optional retirement savings plan such as a 403(b) account or a 457 account on a pre-tax or post-tax basis.

Sick Leave

  • MATC offers employees a generous sick leave plan per year.
  • Each employee may accumulate up to 165 days of full sick leave with an unlimited accumulation of half pay sick leave.

Vacation

  • MATC offers a vacation policy to employees for the purpose of rest and relaxation.
  • Vacation is earned at a generous rate each year of employment. (Not available for Instructors)

Paid & Flexible (Floating) Holidays

  • MATC offers 12 paid holidays for non-Faculty positions and 7 paid holidays for Faculty positions.
  • MATC provides two flexible (floating) holidays per employee per year. (Not available for Instructors).

Tuition Benefits:

  • Employees are eligible for tuition reimbursement and waiver after completing probationary period.
  • Amount allowed per fiscal year is 18 credits at MATC or $1,400 at other accredited institutions.
