Position Summary Jacksonville Sinus & Nasal Institute is seeking a dependable, organized, and patient-focused Clinical Support Specialist to serve in a true hybrid role supporting both front-office operations and Medical Assistant duties. This position is ideal for someone who enjoys variety, works well in a fast-paced medical environment, and is comfortable transitioning between administrative and clinical responsibilities throughout the workday. Responsibilities will shift based on patient volume, provider schedules, staffing, and operational needs. The successful candidate must be willing to step into the area where support is needed most and understand that this position is not limited to either the front or back office. Key Responsibilities Front Office Support - Greet, check in, and check out patients professionally and efficiently.
- Verify patient demographics, insurance, identification, referrals, and required documentation.
- Schedule and reschedule appointments, testing, procedures, and follow-up visits.
- Answer incoming calls and appropriately route patient messages and inquiries.
- Collect copays, coinsurance, deductibles, and outstanding patient balances.
- Assist patients with electronic registration, forms, and questionnaires.
- Monitor provider schedules and assist with maintaining efficient patient flow.
- Scan, upload, fax, and route medical records and other patient documentation.
- Maintain accurate information in Athena, Epic, and other practice systems.
- Follow established payment reconciliation, HIPAA, and organizational procedures.
Medical Assistant / Clinical Support - Room patients and complete appropriate clinical intake.
- Obtain and document vital signs, medications, allergies, pharmacy information, and reason for visit.
- Prepare patients and examination rooms for provider visits.
- Clean, stock, and turn over examination rooms.
- Prepare supplies and equipment for office visits and procedures.
- Assist providers and clinical staff with patient flow and basic clinical procedures within training and permitted scope.
- Assist with allergy testing workflow when appropriately trained and assigned.
- Clean, disinfect, and process ENT scopes and related equipment following required training and competency validation.
- Maintain clinical supplies and notify leadership when items need to be reordered.
- Promptly communicate patient concerns, abnormal findings, or changes in condition to the appropriate licensed clinical team member or provider.
- Follow infection-control and safety protocols.
Qualifications - High school diploma or equivalent required.
- Previous medical office, physician practice, or outpatient healthcare experience strongly preferred.
- Medical Assistant training, certification, or previous hands-on clinical experience strongly preferred.
- Front-office healthcare experience preferred.
- Athena and/or Epic experience strongly preferred.
- Strong computer, data-entry, telephone, and interpersonal communication skills.
- Ability to maintain accuracy while managing multiple priorities.
- Comfortable transitioning between front-office and clinical responsibilities.
- Willingness to cross-train and assist coworkers as practice needs change.
- Dependable attendance and punctuality are essential.
Experience in ENT/Otolaryngology, Rhinology, Allergy, surgical specialties, insurance verification, patient collections, scheduling, or medical instrument processing is a plus. The right candidate is comfortable checking in a patient, resolving a registration or scheduling issue, transitioning into the clinical area to room patients or assist with turnover, and returning to front-office responsibilities when needed.
