Job Summary


We are seeking a highly organized and motivated Office Manager to oversee the daily operations of our busy medical practice. In this role, you will ensure the office runs efficiently by managing administrative functions, coordinating staff, maintaining office procedures, overseeing vendor relationships, and supporting the physicians and leadership team. The ideal candidate is a strong leader with excellent communication, organizational, and problem-solving skills who thrives in a fast-paced environment.


Responsibilities


  •  Oversee the daily operations of the office to ensure efficiency and excellent patient service. 
  •  Maintain calendars for meetings, provider schedules, and office events as needed. 
  •  Develop, implement, and maintain office policies and procedures. 
  •  Collaborate with physicians and leadership to improve workflows and office efficiency. 
  •  Maintain staffing through recruiting, hiring, onboarding, scheduling, and employee retention. 
  •  Create and manage employee schedules to ensure adequate staffing coverage. 
  •  Conduct employee coaching, performance discussions, and assist with conflict resolution. 
  •  Manage inventory and order office and medical supplies. 
  •  Process accounts payable by reviewing, paying, and recording invoices. 
  •  Negotiate pricing and service agreements with vendors. 
  •  Maintain the office budget and monitor operating expenses. 
  •  Coordinate maintenance of office equipment and work with IT vendors to resolve technical issues. 
  •  Ensure compliance with company policies and applicable healthcare regulations. 
  •  Assist with credentialing, licensing, and other administrative projects as assigned. 
  •  Foster a positive, professional, and team-oriented work environment. 
  • Willingness to travel to 3 locations as needed
Qualifications


  •  High school diploma or GED required; associate's or bachelor's degree preferred. 
  •  Previous experience as an Office Manager, Practice Manager, or similar leadership role preferred. 
  •  Experience in a medical office or healthcare setting preferred. 
  •  Strong leadership and employee management skills. 
  •  Excellent organizational and time-management abilities with the ability to prioritize multiple responsibilities. 
  •  Strong verbal and written communication skills. 
  •  Excellent problem-solving skills and attention to detail. 
  •  Proficiency in Microsoft Office (Word, Excel, Outlook); experience with QuickBooks and electronic medical record (EMR) systems is a plus. 
  •  Ability to maintain confidentiality and exercise sound judgment.
