The Clinical Coordinator reports directly to the Program Director and works in close collaboration with the Clinical Education Director to support the administrative operations of the Clinical phase of the Physician Assistant program. This position is responsible for the development, maintenance, organization, and management of the program's clinical rotation sites and provides essential administrative support to ensure efficient coordination of supervised clinical practice experiences and compliance with program and accreditation requirements.
Essential Functions (Principal Duties and Job Responsibilities):
Coordinate Clinical Placements and Student Compliance Requirements
Coordinate the placement and scheduling of students for supervised clinical practice experiences (SCPEs), including verification and tracking of immunizations, background checks, drug screenings, clinical course registrations, and other site-specific onboarding requirements to ensure students meet all clinical placement and regulatory requirements.
Manage Clinical Sites and Preceptor Relationships
Develop, maintain, and organize clinical rotation sites locally, statewide, and nationally. Serve as the primary point of contact for office managers, preceptors, and clinical sire personnel, and coordinate ongoing communication to support the establishment, maintenance, and effectiveness of clinical education partnerships
Administer Preceptor Credentialing and Evaluation Processes
Coordinate the annual verification and maintenance of preceptor documentation, including licensure, board certifications, and curriculum vitae, and other required records. Monitor, collect, and maintain preceptor evaluations of student performance and ensure all documentation complies with institutional, regulatory, and accreditation requirements
Manage Clinical Education Data and Accreditation Compliance Activities
Support the Clinical Education Director in the collection, maintenance, and management of clinical education data and records. Assist with continuous review processes and ensure compliance with federal, state, institutional, and accreditation standards, including documentation required for program assessment and self-study activities
Coordinate Clinical Assessments and Student Support Services
Administer end-of-rotation (EOR) examinations and provide students with clinical site information, including location details, contact information, and housing resources when applicable. Coordinate and communicate site-provided housing arrangements and other logistical information necessary to support student success during clinical rotations
Conduct Clinical Site Monitoring and Quality Assurance Activities
Participate in clinical site visits and evaluate the quality and effectiveness of supervised clinical practice experiences as part of the program's ongoing assessment and continuous quality improvement processes
Coordinate Financial and Administrative Support Activities
Coordinate preceptor and clinical site payments, serve on program committees and ad hoc workgroups, and participate in institutional activities, including commencement and convocation. Perform other related duties as assigned to support the operational needs of the Physician Assistant Program
