Job Summary
We are seeking a highly organized and detail-oriented Clinical Administrative Coordinator to support a busy healthcare team in Laguna Hills, CA. This is a contract-to-hire opportunity for a candidate with strong healthcare administrative, scheduling, and patient coordination experience.
This position will be responsible for coordinating patient procedures, managing provider schedules, obtaining insurance authorizations, maintaining accurate patient records, and ensuring effective communication between patients, providers, clinical staff, and outside facilities.
The ideal candidate will have previous healthcare administrative or medical scheduling experience, strong organizational skills, and experience working with Epic. Experience with GI or procedural scheduling is highly preferred.
Key Responsibilities
- Schedule colonoscopies, EGDs, and other GI procedures based on provider orders and facility availability.
- Manage provider and procedure schedules.
- Coordinate endoscopy center availability and anesthesia scheduling when required.
- Review provider orders and ensure required documentation is complete prior to scheduling.
- Obtain and track prior authorizations and referrals.
- Verify patient insurance eligibility and benefits.
- Confirm and update patient demographics and insurance information.
- Communicate with patients regarding procedure dates, times, locations, preparation instructions, and scheduling changes.
- Document patient communications accurately in Epic.
- Coordinate pre-operative and pre-procedure requirements, including medical clearances, laboratory results, and test reports.
- Review consent, registration, and other required patient forms.
- Manage cancellations, reschedules, waitlists, and urgent scheduling requests.
- Notify providers, clinical staff, patients, and other appropriate parties of schedule changes.
- Help optimize procedure schedules and provider block utilization.
- Prepare surgical or procedure packets and ensure all required documentation is available.
- Maintain accurate and confidential patient records.
- Collaborate closely with physicians, nurses, authorization teams, front-office staff, and other clinical personnel.
- Perform additional administrative duties as needed to support daily clinic operations.
Qualifications
- High school diploma, GED, or equivalent required.
- Previous experience in healthcare administration, medical scheduling, procedure scheduling, or a related role preferred.
- Experience with Epic or another electronic health record system strongly preferred.
- GI, gastroenterology, endoscopy, or procedure scheduling experience is highly preferred.
- Knowledge of prior authorizations, referrals, insurance eligibility, and benefits verification.
- Familiarity with insurance payer portals.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to prioritize multiple responsibilities in a fast-paced healthcare environment.
- Ability to communicate professionally with patients, physicians, clinical teams, and insurance companies.
Software Skills
Strong proficiency with:
- Epic – patient documentation and scheduling
- Microsoft Outlook – patient and provider communication
- Microsoft Excel – tracking schedules, authorizations, and reports
- Microsoft Word – letters, patient instructions, and templates
- Microsoft Teams – internal communication
