Celebrations Speech Group is seeking a full-time Clinic Assistant / Patient Care Coordinator to join our team. This role supports patient care coordination, insurance documentation, discharge workflows, and patient communication. The ideal candidate is organized, professional, detail-oriented, and comfortable working with families, therapists, and insurance companies.

Position Details

Position: Clinic Assistant / Patient Care Coordinator
Location: Hybrid, Stockton or Elk Grove, CA
Schedule: Monday through Friday, 9:00 AM to 6:00 PM PST
Employment Type: Full-time, non-exempt
Compensation: $21.00 to $23.00 per hour, based on experience and qualifications

About the Role

The Clinic Assistant / Patient Care Coordinator plays an important role in supporting patients, families, clinical team members, and administrative workflows. This position helps ensure timely communication, accurate documentation, and smooth coordination related to patient care, patient progress reports, and discharges.

Responsibilities Include

  •  Serve as a point of contact for patient care advocacy and patient-related communications. 
  •  Communicate professionally with patients, families, therapists, and internal team members. 
  •  Support patient discharge processes and follow applicable discharge procedures. 
  •  Coordinate and track progress report deadlines for insurance companies. 
  •  Submit progress reports and required documentation to insurance companies in a timely manner. 
  •  Send reminders to therapists and clinical team members regarding report due dates and required documentation. 
  •  Assist with authorization, reauthorization, and insurance-related communication as needed. 
  •  Maintain accurate patient trackers, active client lists, and administrative documentation. 
  •  Support verification of discharge documentation and patient chart completion. 
  •  Respond to patient and family inquiries in a calm, professional, and service-oriented manner. 
  •  Handle confidential patient information in accordance with HIPAA and company policy. 
  •  Support front-office and back-office administrative tasks as needed. 
  •  Complete other related duties as assigned by management. 
Qualifications

  •  Prior experience in healthcare administration, patient coordination, insurance coordination, or a similar administrative role preferred. 
  •  Strong written and verbal communication skills. 
  •  Excellent organization, follow-through, and attention to detail. 
  •  Ability to manage multiple deadlines and shifting priorities. 
  •  Professional and compassionate communication style when working with patients and families. 
  •  Comfortable using email, spreadsheets, patient trackers, and administrative systems. 
  •  Ability to maintain confidentiality and follow HIPAA requirements. 
  •  Ability to work independently while also collaborating with a team.
