About The Position

Ellie Mental Health – Space Coast is seeking a highly organized, detail-oriented, and customer-focused Client Services Coordinator with medical billing experience to join our growing outpatient mental health practice.


This position plays an important role in both the client experience and the day-to-day operations of our clinics. The Client Services Coordinator serves as a primary point of contact for new and current clients while supporting scheduling, insurance, medical billing, marketing, and general administrative functions.


The ideal candidate is friendly and compassionate, communicates confidently by phone, text, and email, is comfortable working with technology, and takes ownership of tasks through completion.


 Client Service & Scheduling
·        Answer incoming calls and respond to client inquiries professionally, compassionately, and promptly.
·        Schedule appointments for new and current clients.
·        Assist prospective clients through the intake and scheduling process.
·        Assist clients with accessing and using their patient portal.
Medical Billing & Insurance
·        Verify insurance eligibility and benefits and accurately document coverage information.
·        Assist with electronic claim submission and monitor claims for acceptance and payment.
·        Review rejected and denied claims and investigate reasons for nonpayment.
·        Collect patient balances, copayments, deductibles, coinsurance, and other amounts due.
Marketing & Community Outreach
·        Assist clinic leadership with local marketing and community outreach initiatives.
·        Develop and maintain relationships with healthcare providers, schools, community organizations, and other referral sources.
·        Assist with community events, networking opportunities, health fairs, open houses, and other outreach activities.
·        Support social media efforts, including gathering content  to highlight services and community involvement.


Qualifications and Skills 

Required
·        High school diploma or equivalent.
·        Must be comfortable communicating with clients by phone, text, and email and have strong typing skills.
·        Must be comfortable using computers and learning new software and electronic systems.
·        A high level of customer service is required.
·        Strong attention to detail and accuracy.
·        Strong written and verbal communication skills.
·        Ability to manage multiple priorities and follow tasks through to completion.
·        Professional, friendly, and compassionate demeanor.
·        Ability to appropriately handle confidential information and protected health information.
·        Dependable attendance and strong organizational skills.
·        Comfortable interacting with community organizations, referral sources, and other professionals on behalf of the clinic.


Preferred Experience
·        Minimum 1 year of medical billing, health insurance, or medical office experience preferred
·        Experience verifying insurance eligibility and benefits.
·        Experience working with commercial health insurance claims.
·        Experience with electronic medical records (EMR/EHR) or practice-management systems.
·        Experience working in behavioral health, mental health, psychiatry, or another outpatient healthcare setting.
·        Familiarity with CPT and ICD-10 coding concepts.
·        Experience using Canva or similar tools to create basic marketing materials is a plus.

·        Can move between client service, scheduling, billing, marketing, and administrative responsibilities while keeping priorities organized.
·        Understands that confidentiality, accuracy, professionalism, and responsiveness are essential in a mental health practice.
