Veterinary Client Service Representative

Williamsburg Animal Clinic is looking for a warm, personable, and customer-focused Client Service Representative to join our team in Brooklyn, NY.

Our CSRs are so much more than receptionists. They are often the first and last interaction our clients have with our hospital and play an incredibly important role in creating a welcoming experience for both our clients and their pets. We are looking for someone who genuinely enjoys working with people, communicates well, can stay organized in a busy environment, and wants to be part of a collaborative veterinary team.

This position will initially be part-time with the potential opportunity to transition to full-time by the end of the year. Once full-time, the anticipated schedule will be approximately 4–5 days per week, with alternating Saturdays required.

Williamsburg Animal Clinic is a full-service companion and exotic animal practice located in Brooklyn, NY. Our multi-doctor team is supported by an experienced group of veterinary professionals who are passionate about providing high-quality medicine and creating a positive experience for our clients and patients. Because we serve a diverse Brooklyn community with a large Spanish-speaking clientele, bilingual English/Spanish candidates are strongly preferred. The ability to communicate comfortably with our Spanish-speaking clients would be incredibly valuable to our team and the families we serve.

Previous veterinary CSR or reception experience is preferred for this position

Responsibilities

Client Interaction and Communication

• Greet clients warmly and professionally, creating a welcoming and comforting atmosphere.
• Schedule appointments, surgeries, and procedures while helping the hospital maintain an organized schedule.
• Answer incoming phone calls and emails, address client questions, and provide information regarding hospital services and policies.
• Communicate compassionately and professionally with clients during both routine and emotional situations.

Check-In and Check-Out

• Efficiently manage client check-ins, verify patient and client information, update records, and obtain necessary paperwork.
• Process payments accurately and provide clients with detailed invoices and receipts.
• Coordinate a smooth check-out process, including scheduling follow-up appointments and communicating appropriate next steps.

Administrative Tasks and Record Keeping

• Maintain accurate electronic and paper records, including patient files, appointment information, and client communications.
• Assist with filing, scanning, data entry, and other administrative responsibilities.
• Maintain and update client and patient information within the practice management system.

Client Education and Support

• Provide clients with basic information regarding preventive care, vaccinations, medications, and hospital services within the scope of the CSR role.
• Assist clients with forms, estimates, scheduling, and other questions or concerns.
• Help create a supportive experience for clients who may be anxious or emotional about their pet's care.

Team Collaboration

• Work closely with veterinarians, veterinary technicians, assistants, and fellow CSRs to support efficient patient flow and excellent client service.
• Help coordinate appointments, procedures, and special requests.
• Communicate effectively with the medical team to ensure clients receive accurate and timely information.

What We're Looking For

• Excellent interpersonal and customer service skills with a warm, friendly, and professional demeanor.

• Strong verbal and written communication skills.

• Previous Veterinary Hospital experience is strong preferred

• Bilingual English/Spanish is preferred.

• Ability to multitask and remain organized in a busy veterinary environment with frequent interruptions.

• Strong critical-thinking and problem-solving skills.

• Comfortable using computers and learning veterinary practice management software.

• Empathy and patience when working with clients who may be worried or stressed about their pets.

• Availability to initially work a part-time schedule and transition to approximately 4–5 days per week as the position becomes full-time.

• Availability to work alternating Saturdays is required.

Compensation & Benefits

$19.00–$23.00 per hour, commensurate with experience.
