    Overview

    We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently in a fast-paced environment. Prior office or clerical experience, along with familiarity with medical or dental reception duties, is highly desirable. The successful candidate will contribute to maintaining a welcoming atmosphere while ensuring smooth daily operations.

    Responsibilities

    • Greet visitors and clients warmly, ensuring a positive first impression
    • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
    • Schedule appointments and manage calendars using tools like Google Workspace and Microsoft Office
    • Handle data entry, filing, and record keeping with accuracy and attention to detail
    • Perform administrative tasks such as proofreading documents, managing correspondence, and organizing files
    • Utilize QuickBooks for basic bookkeeping and billing processes when necessary
    • Support office management activities including supply inventory and general clerical duties
    • Maintain a professional appearance and uphold excellent phone etiquette and customer support standards
    • Assist with additional administrative projects as needed to support team efficiency

    Skills

    • Proven experience in office management, clerical work, or administrative support
    • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
    • Excellent organizational skills with the ability to prioritize tasks effectively
    • Exceptional communication skills, both verbal and written, including phone etiquette
    • Ability to operate multi-line phone systems efficiently and handle high call volumes
    • Bilingual abilities are a plus for serving diverse client populations
    • Experience with QuickBooks or bookkeeping is advantageous
    • Attention to detail in proofreading and document management
    • Time management skills to handle multiple responsibilities simultaneously
    • Previous experience in medical or dental receptionist roles is preferred but not required
    • Personal assistant experience or calendar management skills are beneficial for supporting executive staff
