Description

Fortis Investment Services, Inc. is seeking an experienced, professional, and highly organized Client Service Associate to join our growing financial services practice.

The Client Service Associate plays an important role in delivering an exceptional client experience while supporting the Financial Advisors and other members of the Fortis team. This position is ideal for someone who enjoys building relationships with clients, managing details, solving problems, and working collaboratively in a fast-paced financial services environment.

We are looking for someone who takes ownership of their responsibilities, communicates effectively, follows through on commitments, and genuinely enjoys helping clients.

Candidates with previous experience in a financial advisory, wealth management, brokerage, banking, or related financial services environment are strongly preferred. FINRA Series 7 and Series 66 registrations are a significant plus and will be considered when determining compensation.

Job Responsibilities

The Client Service Associate will be responsible for a combination of client service, account administration, advisor support, and general office responsibilities, including:

  • Serve as a primary point of contact for routine client service needs and provide professional, timely follow-up.
  • Assist clients with account-related questions, paperwork, distributions, contributions, beneficiary changes, address changes, and other service requests.
  • Prepare and process new account paperwork, account transfers, maintenance requests, and other required documentation.
  • Monitor outstanding paperwork and account activity to ensure items are completed accurately and promptly.
  • Maintain accurate and complete client records within the firm's CRM and other systems.
  • Assist Financial Advisors with preparation for client review and financial planning meetings.
  • Prepare meeting materials, reports, account information, and follow-up items.
  • Document client interactions and ensure outstanding tasks are assigned and completed.
  • Coordinate with custodians, broker-dealer personnel, product companies, and other financial institutions to resolve client service issues.
  • Assist with money movement requests and required documentation in accordance with firm policies and procedures.
  • Help manage client onboarding and ensure new clients receive a professional and organized experience.
  • Assist with scheduling client meetings and maintaining advisor calendars as needed.
  • Work closely with other team members to manage workloads, deadlines, and client follow-up.
  • Maintain client confidentiality and follow all applicable privacy, cybersecurity, regulatory, and compliance requirements.
  • Identify opportunities to improve office processes and the overall client experience.
    Provide additional administrative and operational support as needed.

Qualifications

The ideal candidate will have:

  • Previous experience in financial services, wealth management, investment advisory, banking, insurance, or a related professional environment preferred.
  • Strong client service and interpersonal skills.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and organizational ability.
  • Ability to manage multiple priorities and follow tasks through to completion.
  • Strong problem-solving skills and the ability to work independently when appropriate.
  • Professional demeanor and discretion when handling confidential client information.
  • Comfort learning and working with financial services technology, CRM systems, Microsoft Office, and other business applications.
  • Ability to work effectively as part of a small, collaborative team.
  • A willingness to learn and take on additional responsibilities as the practice continues to grow.
  • Securities Registrations
    FINRA securities registrations are not required for all candidates, but candidates who currently hold applicable registrations will receive additional consideration.
