    Position Overview

    We are seeking a detail-oriented Client Operations & Logistics Specialist to manage account workflows, oversee reservation logistics, and deliver high-touch support across our client portfolio.

    In this role, you will act as an operational coordinator, facilitating client inquiries, organizing custom travel and hospitality requests, and liaising directly with enterprise supplier networks. This position is ideal for professionals with strong administrative, organizational, or account management experience who thrive in a structured corporate environment.

    Key Responsibilities

    • Account & Workflow Management: Process incoming client requests, manage client account files in our central CRM, and ensure all booking details comply with client specifications and company policy.
    • Vendor & Supply Chain Logistics: Liaise with hotel groups, resort partners, tour operators, and transportation vendors to confirm bookings, secure contract rates, and negotiate specialized arrangements.
    • Itinerary Construction & Quality Control: Draft, verify, and deliver comprehensive travel itineraries and operational schedules for corporate and private guests.
    • Real-Time Client Support: Serve as a dedicated point of contact to resolve schedule modifications, itinerary adjustments, and unexpected travel disruptions promptly and professionally.
    • Data Administration: Maintain accurate record-keeping, verify vendor confirmations, track client preferences, and audit billing documentation to ensure financial integrity.
    • Cross-Departmental Collaboration: Work alongside senior account leads and operations managers to streamline internal processes and uphold high client retention standards.

    Qualifications & Requirements

    Required:

    • Must be at least 18 years of age and legally authorized to work in the United States.
    • High school diploma or equivalent (Bachelor's degree or relevant professional certification preferred).
    • 1+ years of experience in corporate account management, administrative operations, customer success, or logistics coordination.
    • Strong written and verbal communication skills with professional phone and email etiquette.
    • Exceptional organization, time-management, and multitasking capabilities.
    • Technical proficiency using CRM software, cloud platforms, and office suites (Google Workspace / Microsoft 365).
    • Reliable high-speed internet connection and a dedicated, quiet home office setup suitable for remote work.

    Preferred:

    • Prior administrative experience in hospitality, corporate travel management, or account operations.
    • Familiarity with enterprise reservation tools or global distribution platforms.
