    Overview

    Responsibilities

    Greet and screen patients and visitors, determining their needs and addressing inquiries regarding visits, products, and account information

    Answer phone calls, route calls to appropriate team members, and follow established voicemail protocols

    Maintain a clean and welcoming front lobby area, restocking coffee and water supplies as needed

    Input patient demographic information, complete registration forms, and ensure HIPAA compliance

    Verify insurance coverage, scan insurance cards, and assist with referrals, specialist appointments, or hospital procedures as necessary

    Prepare schedules daily, distribute appointment sheets, and confirm upcoming patient appointments through outbound calls

    Check in patients, verify insurance and co-payments, and handle payments accurately, balancing daily receipts and credit card transactions

    Ensure all paperwork, such as superbills and co-pay details, are completed prior to end of shift for the next day's appointments

    Collaborate with co-workers and healthcare providers to ensure smooth communication and service delivery

    Maintain a professional and organized work area, adhering to all policies and procedures including dress code, safety, and confidentiality standards

    Required Skills

    Exceptional customer service and communication skills

    Basic computer proficiency with experience in data entry and scheduling

    Strong organizational skills and attention to detail

    Ability to handle multiple tasks simultaneously in a fast-paced environment

    Professional demeanor and friendly voice, capable of working well under pressure

    Basic typing speed of 45 WPM

    Knowledge of HIPAA and confidentiality practices

    Additional Skills & Requirements

    High school diploma or equivalent required

    6 months to 1 year of previous experience involving public contact or administrative tasks, preferably in healthcare

    Experience with computer-based scheduling and insurance verification is preferred

    Ability to work independently with minimal supervision

    On-the-job training provided for approximately one month

    Scheduled work hours following clinic policies; dependable and punctual attendance essential
