    Description

Chief of Staff - Law Firm Operations

    Pay: $95,000.00 - $135,000.00 per year

    Job description:

Chief of Staff — Law Firm Operations

A successful and growing estate planning and elder law firm is seeking an accomplished Chief of Staff to work directly with its founder and Managing Attorney. This is a rare opportunity for an experienced law-firm leader to help shape the next stage of an established practice with ambitious plans for growth.

The Chief of Staff will serve as the Managing Attorney's strategic and operational partner, translating ideas and priorities into action, strengthening accountability across the firm, and ensuring that important initiatives move from discussion to completion.

This is not a traditional administrative position. The successful candidate will have meaningful responsibility, direct access to firm leadership, and the opportunity to make a visible and lasting impact on the organization.

    The Opportunity

The firm has a strong reputation, an established team, sophisticated technology, and significant opportunities for continued expansion. The Chief of Staff will help build the people, processes, systems, and management infrastructure necessary to support that growth.

This position is ideal for someone who enjoys creating order, solving problems, developing people, and building an organization—not simply maintaining one.

    Key Responsibilities

    • Partner with the Managing Attorney on firm strategy, growth, and execution.
    • Translate strategic priorities into clear plans, assignments, deadlines, and measurable results.
    • Coordinate operations across the firm's legal, intake, administrative, marketing, and financial functions.
    • Monitor workflows from initial inquiry through consultation, engagement, legal production, billing, and matter completion.
    • Identify operational bottlenecks, missed handoffs, and recurring problems, and implement practical solutions.
    • Establish clear performance expectations and reinforce accountability throughout the organization.
    • Develop and monitor key performance indicators relating to lead conversion, matter progression, turnaround times, collections, productivity, and client service.
    • Lead management meetings and ensure that decisions result in completed action items.
    • Develop, document, and implement standard operating procedures.
    • Assist with recruiting, onboarding, training, performance management, and professional development.
    • Lead the integration of new attorneys, employees, systems, offices, and practice-growth initiatives.
    • Oversee outside vendors and consultants and hold them accountable for agreed-upon results.
    • Improve the firm's use of practice-management, CRM, document-automation, communication, and reporting technology.
    • Serve as a trusted and discreet advisor to the Managing Attorney.

    Required Qualifications

    • Substantial operational, administrative, or management experience within a law firm.
    • Demonstrated success managing people, projects, and competing priorities.
    • A strong understanding of law-firm workflows, client service, matter progression, billing, and professional responsibilities.
    • Experience developing processes, improving systems, and creating organizational accountability.
    • Exceptional organizational, communication, leadership, and problem-solving skills.
    • Confidence addressing performance issues directly and constructively.
    • Comfort working with financial reports, performance data, and business metrics.
    • Strong judgment, discretion, and emotional intelligence.
    • Proficiency with law-practice technology and the ability to learn new systems quickly.

    Preferred Qualifications

    • Experience in an estate planning, elder law, trusts and estates, probate, tax, or closely related practice.
    • Experience supporting a growing or multi-office law firm.
    • Familiarity with legal marketing, intake management, consultation conversion, and client follow-up.
    • Experience integrating new attorneys, employees, offices, or acquired practices.

Candidates may currently or previously have served as a Chief of Staff, law-firm administrator, executive director, director of operations, practice manager, or senior legal professional with significant management responsibility.

Who Will Thrive in This Role

The ideal candidate is proactive, resourceful, highly organized, and energized by growth. This person can see the larger strategic picture while remaining attentive to the operational details that determine whether a firm succeeds.

You will be comfortable taking ownership, making thoughtful recommendations, holding others accountable, and ensuring that important projects do not stall. You will recognize that exceptional client service, strong systems, a healthy culture, and financial performance are interconnected.

Most importantly, you will be excited by the opportunity to help build an exceptional law firm and to have a meaningful voice in how it grows.

    How to Apply

Please submit your résumé and a brief cover letter addressing:

    • Your law-firm management or operational experience;
    • The size and structure of the firm or team you helped manage; and
