Job Summary

The Center Director will oversee and monitor the daily operations of their designated Arkids Pediatric Day Centers location.  The Center Director will perform planning, organizing, actuating and controlling activities to ensure a well-organized, efficient operation. 

Summary of essential job function

  • Follow Arkids Pediatric Day Centers’ Employee Handbook, Management Policies and Procedures Manual, and Medical Policies & Procedures Manual
  • Ensure all policies and procedures are implemented by all staff members, maintaining compliance at all times with all regulations determined by regulatory agencies
  • Maintain standards set forth by Arkansas Minimum Licensing, Division of Provider Services and Quality Assurance (DPSQA), Medicaid, Arkansas Department of Health, gatekeepers to Medicaid, and all other regulatory agencies
  • Oversee interviewing, hiring, and new staff orientation to ensure all staff members are qualified and adequately trained for their position
  • Ensure all required new hire onboarding requests are submitted through the workforce management system
  • Check references on all new employees (must cover the last 6 years) prior to New Employee Orientation but at a minimum within the first week of employment
  • Ensure new hires complete the New Employee Checklists (Days 1-5) during their first week of employment
  • Submits New Employee Checklists (Days 1-5) to the HR Coordinator on the Monday after the first week of employment
  • Create personnel files within the first week of employment
  • Maintain personnel files in accordance with corporate and regulatory agencies, filing weekly
  • Ensure Employee Tracker is updated and sent to the Program Administrator and HR Coordinator on Friday of every week
  • Create electronic Employee Logs on all employees, maintaining documentation of all important conversations, and/or follow-up with employees, positive or negative, including email correspondence  
  • Ensure resignations are received in writing and submitted to the HR Coordinator and Program Administrator within 24 hours of receipt
  • Complete offboarding in the workforce management system no later than 10:00am the following morning after the employee’s last day worked
  • Break down terminated Employee Files within one week of termination
  • Ensure all employees are active members of the Arkansas Professional Development Registry (PDR) and meet the minimum requirement of 15 hours of training annually
  • Consistently work with staff to develop their skills and help them grow professionally
  • Complete formal 90-day performance evaluations on all new employees within the month due
  • Complete formal annual performance evaluations on all employees within the month due, submitting it to the Program Administrator for review in advance
  • Complete a formal mid-year review of goals on all employees within the month due
  • Ensure that payroll is accurate and approved each week on all employees through the workforce management system, by 10:00am on the Monday of the pay week
  • Ensure reimbursement requests are submitted by 10:00am on the Monday of the pay week
  • Serve as the purchasing agent for the Center, ensure that all purchases and orders are reviewed prior to submitting to the Program Administrator for approval,   purchasing requests are due to the Program Administrator by the 3rd week of the month for the following month 
  • Upload receipts into the workforce management system no later than the 4th of every months (for the previous month)
  • Turn in Invoices and bills to the accounts payable (including food & milk delivery invoices) a minimum of weekly
  • Ensure co-pays, private pay payments, etc. from parents/guardians are turned into the CFO weekly
  • Ensure designated staff close out classroom billing daily
  • Ensure Dietary Staff adhere to Child & Adult Care Food Program (CACFP) rules and regulations on a daily basis 
  • Ensure CACFP documentation is submitted by the Center Directors to Crowley’s Ridge Development Council (CRDC) by the 1st Friday of the new month but no later than mid-month
  • Ensure designated staff submit Daily Census Reports error-free and by noon each day to the appropriate Center staff and leadership
  • Review Aspyre reports a minimum of weekly, noting trends to discuss with Center staff, Regional Therapy Director and/or Program Administrator
  • Forward notes from the Regional Therapy Director and Compliance Specialist explaining missed therapy units to the Program Administrator every Tuesday by 2:00pm (unless otherwise specified)
  • Conduct weekly Administrative Meetings with meeting minutes turned into the Program Administrator, CEO, COO, & CFO by noon on Thursday of each week
  • Conduct a minimum of quarterly meetings with all other staff with meeting minutes turned into the Program Administrator within 3 days of the meeting date
  • Ensure Quality Assurance Team meetings are being held monthly (for the previous month) & submit completed form to the Program Administrator by the 2nd Friday of the new month
  • Ensure debriefing takes place any time the Crisis Prevention Team is called (outside of practice drills).  The Program Administrator should be contacted and notified of the incident and scheduled debriefing time. This form should be completed and submitted to the Program Administrator as soon as possible, but at a minimum within 24 hours. 
  • Submit Behavior Management Plans to the Director of Education for approval. Ensure behavior management plans are implemented, and re-evaluated a minimum of quarterly, for patients who exhibit challenging behaviors on a chronic basis
  • Approve time off requests timely, approving only after considering how many staff are already approved off, the amount of position openings, 90-day probationary period status, PTO time available and seniority of staff requesting off 
  • Post weekly tentative staff schedules, including time off and planned coverage
  • Ensure designated staff are completing and documenting required monthly (fire & tornado) and quarterly (earthquake, bomb threat, crisis prevention) safety drills. 
  • Send completed safety drill logs to the HR Coordinator monthly
  • Complete a minimum of weekly Center Inspections
  • Ensure documentation meets regulatory compliance before initiating the service and billing process
  • May act as the medical liaison between the medical and clinical components of patient care 
  • Ensure complete compliance with applicable licensure standards including state Medicaid, through maintenance of records of service, referrals, follow-up, continuity of care following discharge, etc. 
  • Continuously monitor, observe and evaluate the daily operations of the Center, making adjustments, as necessary (e.g. adjusting staffing to fit the needs of the daily census)
  • Maintain enrollment and attendance goals
  • Fiscal management of the Center
  • Responsible for the performance of all tasks performed in the Center by employees and/or contract professionals to ensure the highest delivery of services and patient care
  • Work with staff to organize and conduct parent/guardian meetings and activities
  • Disseminate information to parents/guardians in times of emergency.
  • Ensure positive, constructive relationships with parents/guardians and families served
  • Ensure the special needs of the patients are met at the Center at all times.
  • Conduct quarterly observations of the classrooms and review findings with the Admin ECDS, or designee, and classroom staff to create action plans
  • Perform various marketing activities of the Center and/or company to inform the public served 
  • Present a good image of the Center and company to the community served, including the medical and professional community
  • Complete required monthly, quarterly and annual reports for the Center
  • Develop new policies and procedures with the Program Administrator
  • Effectively communicate the status of operations, employee issues/challenges, hiring/terminating employees and any other key components of the Center to the Program Administrator, CEO, COO, and/or CFO
  • Ensure the Center Nurse sends immunization tracker a minimum of monthly for review
  • Ensure the Center Nurse turns in all Incident Reports by the end of the day of the incident for review (as evidenced by initials and date) 
  • Oversee any outside contracted services
  • Ensure all administrative staff turn in required documentation, trackers, billing tables, weekly enrollment updates, etc. to the appropriate people and by the set deadlines with no errors
  • Must maintain open, positive communication to Center staff and contract staff
  • Must be creative and innovative in management techniques to enhance efficiency, delivery, and growth of the program
  • Work closely with the Program Administrator on ways to grow the program and maintain a consistently high level of excellent internal and external customer service
  • Oversee on-site and retrospective audits, notifying the Program Administrator immediately
  • Perform and monitor large areas of work activities
  • May act as an Early Childhood Developmental Specialist (ECDS) for the Center, as needed
  • May fill in for breaks, as needed
  • Other duties as assigned

Minimum requirements

  • BSE in Early Childhood Education or a bachelor's degree and has at least one (1) of the following: Current Certification in Arkansas For Early Childhood or Early Childhood Special Education, current child development associate's certificate, current birth to pre-K credential, or documented experience working with children with special needs and twelve (12) hours of completed college courses in early childhood, child development, special education, elementary education, or child and family studies required
  • Prefer a minimum of 5 years of experience in Early Childhood Education or related field
  • Prefer a minimum of 2 years of management experience
  • Clear Criminal Record Check, Arkansas Child & Adult Maltreatment Regulatory Checks, FBI Regulatory Check, including National Sex Offender Registry
  • Yearly completion of a minimum of 15 hours of continuing education through Arkansas Professional Development Registry (PDR)
  • Completion of Director’s Orientation within 6 months of hire
  • Pass a drug screen (upon hire, annually, and/or randomly)
  • Travel as needed
  • Valid Arkansas Driver’s License, including P endorsement if needed
  • Clear Driving Record
