We are seeking an experienced, highly organized Legal Secretary to support attorneys handling casualty, complex litigation, and mass tort matters. This role provides essential administrative and litigation support in a fast-paced legal environment, with responsibility for preparing legal documents, managing deadlines, coordinating filings, maintaining case materials, and ensuring attorneys have the support needed to deliver timely, accurate, and client-focused service.
 
Key Responsibilities
  • Prepare, draft, revise, format, and proofread legal correspondence, pleadings, discovery documents, motions, subpoenas, notices, and other litigation materials.
  • File documents electronically in state and federal courts, ensuring compliance with court rules, filing procedures, formatting requirements, and deadlines.
  • Maintain attorneys’ calendars, including court dates, filing deadlines, depositions, mediations, hearings, client meetings, and internal case deadlines.
  • Coordinate meetings, conference calls, depositions, hearings, and travel arrangements as needed.
  • Open new matters, assist with client intake, run conflict checks, and maintain accurate matter information.
  • Organize, update, and maintain electronic and physical case files, including pleadings, discovery, correspondence, expert materials, medical records, and deposition materials.
  • Support attorneys in all phases of litigation, including discovery, trial preparation, hearing preparation, mediation preparation, and case management.
  • Enter attorney time and assist with billing-related administrative tasks, including invoice review and matter updates.
  • Transcribe dictation and prepare documents from attorney notes, recordings, or marked-up drafts.
  • Communicate professionally with attorneys, clients, courts, opposing counsel, vendors, experts, and internal team members.
  • Manage competing priorities, urgent requests, and multiple deadlines while maintaining accuracy and confidentiality.
 
Required Qualifications
  • Minimum of 3 years of legal secretary or legal administrative support experience in a law firm or legal department environment.
  • Prior litigation support experience, preferably in casualty, insurance defense, personal injury defense, products liability, toxic tort, or mass tort matters.
  • Strong knowledge of litigation procedures, court rules, filing requirements, and legal terminology.
  • Experience with state and federal electronic filing systems.
  • Proficiency with Microsoft Office, including Word, Outlook, Excel, and document formatting tools.
  • Experience using document management, case management, or billing software.
  • Excellent grammar, proofreading, typing, formatting, and written communication skills.
  • Strong organizational skills, attention to detail, and ability to manage high-volume work with competing deadlines.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive client and case information.
  • Professional, client-service-oriented communication style and ability to work collaboratively with attorneys, paralegals, and support staff.
 
Preferred Qualifications
  • Experience supporting attorneys in complex litigation, multi-party litigation, or mass tort dockets.
  • Familiarity with medical records, expert discovery, deposition scheduling, and trial preparation workflows.
  • Experience with docketing systems, document comparison tools, and litigation support platforms.
  • Prior experience in maritime, admiralty, environmental, asbestos, products liability, or catastrophic injury matters is a plus.
