The Basic Needs Program Coordinator provides leadership and day-to-day management of the student basic needs initiatives. This position is responsible for overseeing operations, data tracking, outreach, and partnerships that ensure equitable access to food and essential resources for students. The role requires strong initiative, independent judgment, and the ability to coordinate multiple functions across student services, facilities, and community partners.

Duties and Responsibilities:

Program Leadership & Pantry Operations

  • Provide daily leadership and oversight of Food Vault Hawaii-West, ensuring smooth, consistent, and student-centered operations.
  • Open, close, and manage pantry service hours, including supervision of student staff and volunteers as applicable.
  • Implement and enforce eligibility policies and distribution procedures to ensure fairness, equity, and compliance with program guidelines.
  • Oversee inventory management, including coordination of donations, procurement, stocking, rotation, and quality control.
  • Plan and execute food and toiletry donation drives, including logistics, outreach, and pick-up coordination.
  • Collaborate with university staff and administrators to support purchasing decisions and supply chain needs.

Data Management, Assessment, and Reporting

  • Lead data collection efforts related to pantry usage, including unique users, service frequency, and food distribution metrics.
  • Maintain accurate and timely program records and generate regular reports for Student Affairs leadership.
  • Analyze trends in student usage and needs to inform service improvements and resource allocation.
  • Develop and implement feedback tools such as surveys, interviews, and evaluation forms to assess student needs and program effectiveness.

Outreach, Communications, and Partnerships

  • Manage social media accounts and digital communications for Basic Needs/Food Vault Hawai?i-West, ensuring consistent and engaging messaging (minimum 1-2 posts per week). ? Maintain and update the program website and online resource information.
  • Develop outreach materials (flyers, announcements, digital ads) to promote pantry services and increase student awareness.
  • Draft thank-you communications to donors and partners.
  • Build and sustain relationships with campus and community partners to support program operations.
  • Identify, cultivate, and formalize new partnerships to expand basic needs resources for students.

Program Development & Other Duties

  • Contribute to the ongoing development of campus basic needs initiatives and recommend improvements to services and operations.
  • Participate in division-wide planning efforts related to student support and retention.
  • Perform other related duties as assigned in support of student success and basic needs programming.

Minimum Qualifications:

  • Demonstrated ability to communicate clearly and effectively, both verbally and in writing.
  • Strong knowledge of office operations, including data entry, report preparation, and maintenance of program and fiscal records.
  • Ability to work independently, exercise sound judgment, and take initiative in a dynamic student service environment.
  • Knowledge of the purpose and philosophy of Student Affairs and student success-oriented services.
  • Ability to build and maintain effective working relationships with students, staff, faculty, and community partners.
  • Proficiency in word processing, spreadsheets, and productivity tools (Google Suite, Microsoft Office).
  • Ability to operate standard office equipment (PCs, copiers, scanners, etc.).
  • Ability to work flexible hours, including evenings and weekends as needed.
  • Ability to lift and move 40-50 pounds regularly (food and supply inventory management).
  • Ability to manage multiple priorities simultaneously while maintaining professionalism and a strong service orientation.
