    We are seeking a highly organized and proactive Administrative Coordinator / Executive Support Specialist to provide administrative and operational support across multiple Microsoft organizations. This role is critical in ensuring smooth day-to-day operations through calendar management, workplace coordination, space planning, employee engagement initiatives, and project support.

    Key Responsibilities

    • Provide administrative support to leaders and teams, ensuring efficient day-to-day business operations.
    • Manage complex calendars, coordinate meetings, and support scheduling across multiple stakeholders and time zones.
    • Assist with workplace operations, space planning, seating management, and organizational resource tracking.
    • Support department financial operations, including expense management, purchasing, and budget-related activities.
    • Coordinate employee engagement programs, events, and internal initiatives.
    • Maintain organizational documentation, floor plans, and operational resources.
    • Collaborate with administrative teams across larger organizations to ensure alignment and continuity of support.
    • Lead and support special projects while ensuring deadlines and business objectives are met.
    • Enforce organizational policies and procedures while serving as a trusted partner to leaders and employees.


    Required Qualifications

    • 2-4 years of administrative experience in a fast-paced corporate environment.
    • 3-5 years of calendar management experience, including support for leaders or executives.
    • 1-2 years of expense management experience.
    • 2-3 years of project coordination or project management experience.
    • Strong knowledge of Microsoft Office applications, including Outlook, Excel, PowerPoint, and Word.
    • Excellent organizational, communication, and customer service skills.
    • Ability to manage competing priorities, maintain confidentiality, and work effectively with diverse stakeholders.
    • Experience supporting remote and global teams.


    Preferred Qualifications

    • Previous Microsoft experience strongly preferred.
    • Experience supporting senior executives and large, complex organizations.
    • Knowledge of workplace operations, facilities coordination, or space management.
    • Experience providing calendar coverage and support for executive assistants and administrative teams.
    • Ability to work independently with minimal supervision and navigate complex organizational processes.
