Introduction

The Department of Facilities & Fleet Management's Buildings & Grounds Division (B&G) helps to support the foundation of local democracy by supporting the facilities and grounds used by residents, visitors, and County employees every day. The division is comprised of an administrative team, two custodial teams, a grounds team, and five maintenance teams spanning Prince William County. B&G is seeking a detail-oriented Business Services Specialist to join our administrative team as we continue to improve and strive to be the best facilities maintenance team.

About This Role:

This position supports the Buildings & Grounds and Property Management Business Services team by processing purchase requisitions, purchase orders, and change orders; coordinating with vendors; verifying pricing and contract compliance; maintaining financial records; preparing reports; reconciling transactions; allocating P-Card transactions; and supporting Accounts Payable and other financial transactions. The position works closely with the Business Services Analyst, internal stakeholders, and vendors to ensure timely acquisition of goods and services and accurate, timely payment of invoices.

The Business Services Specialist also provides Tier 1 support for the division's computerized maintenance management system (CMMS) - Brightly Asset Essentials, including managing users and assets, maintaining preventive maintenance schedules, running and developing reports, supporting financial transaction reconciliation, assisting users, and escalating technical issues to the County's Department of Information Technology when appropriate.

Minimum Requirements:

High school diploma or G.E.D. and 3 years experience in procurement, finance, systems support, or administrative roles

Preferences:

  • Experience with an Oracle-based financial system or similar computerized financial system
  • Experience in creating purchase orders and paying invoices in a state or local government
  • Experience with computerized maintenance management system (CMMS) or similar asset management system
  • Experience using the Microsoft Office Suite (including Excel, Teams, SharePoint, and Lists)
  • Experience using Adobe Acrobat/Adobe Sign

Work Schedule: This is a full-time position, working 37.5 hours per week. The division's core hours are 8:00am to 5:00pm Monday - Friday. This role is currently not eligible for teleworking and is required to be in-office on all workdays.

Starting Salary Range: $28.32 - $40.69 per hour
