    JOB SUMMARY

    The Business Services Specialist provides support within the Business Services Department with primary responsibility for fixed asset management, including asset tagging, inventory, reconciliation, tracking, organization, and record maintenance. This position ensures accurate accountability of district assets, while supporting procurement, receiving, and business office operations.

    The position requires regular interaction with district locations, departments, vendors, and staff to complete inventory, receiving, and procurement responsibilities. The ideal candidate is organized, proactive, and comfortable working in a dynamic and collaborative office environment.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Fixed Asset Management

    • Manage and maintain district fixed asset records and inventory systems.
    • Perform fixed asset tagging, labeling, verification, and physical inventory.
    • Reconcile asset records with physical inventory and research discrepancies.
    • Maintain documentation for asset acquisitions, transfers, disposals, and surplus items.
    • Assist departments with asset organization, tracking, and accountability.
    • Prepare fixed asset reports and maintain audit-ready records.

    Procurement Support

    • Assist departments with procurement processes while ensuring compliance with USFR requirements and district procedures. Review purchase documentation for accuracy, completeness, approvals, and required supporting documentation.
    • Assist with quotes, purchase orders, contracts, cooperative purchasing, and vendor documentation.
    • Support due diligence requirements related to vendors and procurement activities.
    • Maintain procurement records for compliance and audit purposes.

    Receiving Support

    • Receive and verify deliveries against purchase orders, invoices, and receiving documentation.
    • Identify and report discrepancies related to shipments, quantities, or condition of items received.
    • Maintain receiving records and coordinate distribution of items to appropriate departments.
    • Ensure newly acquired fixed assets are identified, tagged, and recorded appropriately.

    Additional Responsibilities

    • Support accounts payable processes through invoice, purchase order, and receiving documentation review.
    • Utilize financial, inventory, and office software systems.
    • Maintain confidentiality of district and financial information.
    • Communicate effectively with departments, vendors, and stakeholders.
    • Perform other duties as assigned.
    • Prepare and post journal entries as needed.
    • Support the finance team in audit preparation and maintain audit-ready records.
    • Utilize Microsoft Excel, Word, and financial software (e.g., Visions or equivalent).

    PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

    • Requires physical mobility to perform fixed asset inventory, tagging, organization, and verification activities throughout district facilities.
    • Requires the ability to travel between district sites, departments, and campuses as needed.
    • May require transporting, moving, and handling equipment, supplies, and fixed asset items.
    • Requires the ability to stand, walk, bend, reach, and work in various locations while completing assigned duties.
